Job Summary:

Project Coordinator

Key Responsibilities:

  • End-to-End Coordination of NP Schedules

    : Ensure all assigned NPs are effectively scheduled with appropriate appointments, considering geography, availability, and visit type.
  • Utilization & Performance Monitoring

    : Track daily productivity, appointment status, and time utilization of assigned NPs to meet departmental performance targets.
  • Pre-Visit & Post-Visit Follow-ups

    : Manage cancellations (pre- and post-visit), reschedules, and flag repeated issues to improve first-time success rate.
  • Screening Checks

    : Ensure screenings are properly scheduled and completed before all home visits.
  • Stakeholder Collaboration

    : Work closely with the Planning Team, Contact Center, and Clinical Ops to ensure seamless execution.
  • Reporting & Documentation

    : Maintain accurate trackers and provide regular updates on NP performance, cancellations, and escalations.
  • Process Improvement

    : Identify and suggest process enhancements to improve scheduling efficiency and NP productivity.
  • Leadership & Accountability

    : Take initiative and accountability for assigned NPs performance. Lead communication, issue resolution, and daily rhythm with minimal supervision.
  • Backup Team Lead Support

    : Act as a backup to the team lead if needed; help onboard new NP Coordinators and support team-level tasks.

Required Qualifications:

  • Bachelors degree in any discipline (Healthcare, Business Administration preferred).
  • 2-4 years of experience

    in a healthcare process, coordination, or scheduling role.
  • 1+ years of team leading or team handling experience

    (formally or informally), with an ability to take ownership and guide peers.
  • Strong verbal and written communication in English.
  • Excellent organizational skills, attention to detail, and ability to multitask.
  • Experience using MS Excel, Google Sheets, and coordination tools (Genesys, Salesforce, or similar systems preferred but not mandatory).
  • Ability to work independently, meet deadlines, and manage escalations effectively.

Preferred Skills:

  • Experience working with U.S. healthcare clients or in a healthcare BPO/KPO.
  • Familiarity with provider scheduling, appointment setting, or call center environments.
  • Comfort working in fast-paced, cross-functional environments.

Work Hours:

US time zones (PST/EST shifts)
