Job Description

As a Procurement Specialist at AHEAD, you will play a crucial role in facilitating the placement of orders with IT hardware vendors such as Cisco, HP, Dell, Palo Alto, Aruba, and others. Your responsibilities will include ensuring timely placement of all orders listed in the Procurement Queue Report by the end of each day, managing procurement for third-party vendor requirements while ensuring compliance with procurement policies and customer expectations, and verifying correct vendor teams, vendor accounts, and purchasing paths are used when placing orders. Additionally, you will coordinate with vendors and internal teams to confirm order acknowledgments and follow through until delivery/shipping, respond promptly to email inquiries related to procurement and order status, and confirm and manage vendor and customer billing schedules. Key Responsibilities: - Facilitate placement of orders with IT hardware vendors including Cisco, HP, Dell, Palo Alto, Aruba, and others. - Ensure timely placement of all orders listed in the Procurement Queue Report by the end of each day. - Manage procurement for third-party vendor requirements, ensuring compliance with procurement policies and customer expectations. - Verify correct vendor teams, vendor accounts, and purchasing paths are used when placing orders. - Coordinate with vendors and internal teams to confirm order acknowledgments and follow through until delivery/shipping. - Respond promptly to email inquiries related to procurement and order status. - Confirm and manage vendor and customer billing schedules. - Create and maintain contracts in Salesforce, particularly for renewals and software orders. - Verify exceptions and ensure customer authorization is secured where needed before ordering. - Liaise with the order management team to resolve escalations related to order fulfillment and shipment. - Perform additional procurement-related duties as assigned. Qualifications Required: - Minimum 3 years of hands-on experience in IT procurement, preferably with a focus on hardware. - Experience working with major IT vendors like Cisco, HP, Dell, Palo Alto, Aruba, or equivalent. - Prior experience in a reseller or third-party vendor procurement environment is a must. - Proficiency in using procurement/order management systems and tools (Salesforce, ERP platforms, etc.). - Excellent communication, follow-up, and coordination skills. - Strong attention to detail and organizational ability.
