We are seeking a versatile and highly-organized Personal Assistant to provide personalized administrative support to senior management. Your primary responsibilities will include scheduling meetings, taking notes, managing correspondence, and making travel arrangements as needed. To excel in this role, you must possess excellent organizational skills and have proven experience in a secretarial capacity. Successful Personal Assistants are proactive in anticipating the needs of managers and work independently to deliver tailored administrative assistance. **Responsibilities:** - Report directly to senior management and carry out secretarial and administrative tasks. - Prepare, format, and edit reports, documents, and presentations. - Input data, maintain databases, and uphold records accurately. - Coordinate with internal departments, manage incoming calls, and organize travel logistics. - Handle both internal and external correspondence on behalf of senior management. - Schedule appointments, manage event calendars, and send out reminders. - Assist with document reproduction, scanning, faxing, and note-taking. - Set up facilities for planned events and arrange for refreshments when necessary. - Procure office supplies, oversee mail services, and manage courier deliveries. - Adhere to professional business practices and etiquette standards. **Requirements:** - High school diploma or equivalent (GED). - Certification in secretarial work, office administration, or related field preferred. - 1-2 years of experience as a Personal Assistant would be beneficial. - Proficiency in creating documents and spreadsheets using MS Office tools (Word, Excel, PowerPoint). - Advanced skills in typing, note-taking, record-keeping, and organization. - Ability to handle internal and external correspondence effectively. - Familiarity with office equipment like printers, copiers, scanners, and fax machines. - Experience with appointment scheduling software such as MS Outlook and call forwarding systems. - Strong written and verbal communication abilities. - Exceptional interpersonal skills.
