Job Title: Personal Secretary to Senior ExecutiveJob Summary:

We are seeking a highly professional, business-minded Personal Secretary to support a Founder/MDin a dynamic corporate environment. The ideal candidate will have a degree from a reputed institution, excellent communication skills, high discretion, and the ability to manage complex administrative, organizational, and business-oriented tasks.

Key Responsibilities:
  1. Executive Support

  • Manage the executive’s calendar, schedule meetings, and coordinate appointments.
  • Screen calls, emails, and correspondence; prioritize and draft responses.
  • Prepare and manage documents, reports, presentations, and briefing materials for meetings.
  • Take meeting minutes, follow up on action items, and ensure execution.
  1. Travel & Logistics

  • Plan, coordinate, and arrange domestic and international travel (flights, accommodation, visas, ground transport).
  • Prepare travel itineraries and related documentation.
  • Handle expense reports, reimbursements, and maintain travel-related records.
  1. Office Administration

  • Maintain organized filing systems (physical and digital).
  • Manage office supplies and ensure smooth functioning of the executive’s office.
  • Coordinate with other departments (HR, Finance, Legal) for internal processes, documentation, and approvals.
  1. Business Liaison & Communication

  • Liaise with internal stakeholders (senior leadership, board members) and external parties (clients, vendors) confidently and professionally.
  • Draft business correspondence, emails, memos, and other communications on behalf of the executive.
  • Act as a trusted point of contact, representing the executive’s office positively.
  1. Strategic & Project Support

  • Assist the executive on special business initiatives and strategic projects.
  • Conduct research, compile data, and prepare analyses or reports as required.
  • Support event planning (e.g., board meetings, off-sites, corporate events).
  1. Confidentiality & Discretion

  • Handle highly sensitive and confidential information with utmost integrity.
  • Maintain discretion in all dealings and ensure that confidentiality is preserved.
Required Qualifications & Attributes:
  • Education:

    Bachelor’s degree in Business Administration, Commerce, Management, or a related field from a reputed university.
  • Experience:

    Minimum of 3–5 years of experience as a personal assistant, executive assistant, or secretary in a corporate setting. (Adjust based on your needs.)
  • Communication:

    Exceptional written and verbal communication skills in English (and any other relevant language).
  • Professionalism:

    Corporate-level confidence, strong business acumen, and a polished executive presence.
  • Organizational Skills:

    Excellent time-management, multitasking, and prioritization abilities.
  • Technical Proficiency:

    Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and comfortable working with modern office tools.
  • Interpersonal Skills:

    Ability to build relationships across all levels of the organization and with external stakeholders.
  • Discretion:

    High degree of integrity, trustworthiness, and ability to work with confidential information.
  • Proactivity:

    A self-starter with the ability to anticipate needs, take initiative, and work independently.
  • Business Mindset:

    Understanding of business processes, the ability to think strategically, and support decision-making.
