Job Title: Personal Assistant to Managing DirectorLocation [Koramangala] Reporting To: Managing Director Experience: 2+ Years (preferred) Employment Type: Full-Time Gender Preference: Female (due to specific coordination & presentation requirements) Job Summary:We are seeking a well-groomed, articulate, and highly organized Personal Assistant to the Managing Director. The ideal candidate should be presentable, proactive, and efficient in managing administrative tasks, communication, travel, and daily coordination for the MD. Strong communication skills in English, Kannada, and Malayalam are essential. Key Responsibilities:Ensure the MD’s cabin is clean and presentable before his arrival each day. Handle calendar management – schedule meetings, appointments, and provide daily and prior reminders for all engagements. Coordinate internal meetings, collect and organize documents and reports from staff. Manage guest coordination including hospitality and front-office communication. Communicate meeting schedules and updates to MD in advance. Coordinate with internal staff (e.g., Karan) for snacks and refreshments during meetings. Manage email communication on behalf of the MD and respond/forward appropriately. Coordinate and communicate with senior state-level employees and external stakeholders. Handle travel bookings (flights, train, accommodation, etc.) and maintain related itineraries. Provide reminders for important dates, including birthdays and key events. Coordinate with chauffeurs (drivers) for timely pickups, drops, and logistics. Support event planning and coordination for internal or external events involving the MD. Assist in preparing reports, presentations, and documentation as needed. Maintain discretion, confidentiality, and professionalism at all times. Candidate Requirements:Female candidate with a presentable appearance and professional demeanor. Excellent communication skills in English, Kannada, and Malayalam. Strong organizational skills with attention to detail. Prior experience as a Personal Assistant, Executive Assistant, or similar role. Proficient in MS Office (Word, Excel, PowerPoint) and calendar/email tools. Ability to multitask, work under pressure, and handle confidential information sensitively. Polite, punctual, and people-friendly personality. Preferred Qualities:Experience working with senior leadership or top management. Flexible with working hours when required. Proactive and solution-oriented mindset.
