Job Summary

WedField Events is looking for a highly organized, proactive, and detail-oriented Personal Assistant (PA) to support the Event Management Director. The ideal candidate will manage schedules, coordinate internal and external communications, assist in event planning activities, and ensure smooth day-to-day operations for the Director.

Key ResponsibilitiesExecutive Support

  • Manage the Director’s daily schedule, meetings, appointments, and reminders
  • Act as a point of contact between the Director and clients, vendors, and internal teams
  • Draft, review, and manage emails, reports, presentations, and official correspondence
  • Maintain confidentiality of all company and client-related information

Event Management Assistance

  • Assist in planning, coordinating, and executing weddings, corporate events, and social events
  • Coordinate with vendors, venues, artists, and logistics teams
  • Track event timelines, checklists, and budgets under the Director’s guidance
  • Attend events when required and provide on-ground coordination support

Administrative & Operations

  • Maintain files, contracts, proposals, and event documentation
  • Follow up on pending tasks, approvals, and payments
  • Prepare MOMs (Minutes of Meetings) and daily/weekly work reports
  • Support HR coordination, team scheduling, and internal communication

Coordination & Communication

  • Ensure smooth coordination between creative, operations, marketing, and finance teams
  • Handle phone calls, inquiries, and client follow-ups professionally
  • Coordinate travel arrangements, site visits, and event rehearsals

Required Skills & Qualifications

  • Bachelor’s degree in Event Management, Business Administration, or related field
  • 1–3 years of experience as a Personal Assistant or Executive Assistant (event industry preferred)
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Proficiency in MS Office, Google Workspace, CRM tools, and WhatsApp Business
  • Ability to handle pressure, tight deadlines, and multiple projects

Pay: ₹20,000.00 - ₹300,000.00 per month
