About the Role
The Payroll Specialist plays a crucial role in ensuring the accurate and timely processing of payroll for an organization. Responsible for overseeing the area of responsibility, this professional manages the end-to-end payroll process, compliance with relevant regulations, and supports overall financial integrity.
Key Responsibilities:
Payroll Processing:
- Execute the complete payroll cycle, including data input, calculations, and distribution of employee salaries and benefits for the countries in scope.
- Ensure accuracy and compliance with local, state, and federal regulations regarding payroll and tax obligations.
- Ensure that the agreed payroll calendar is respected upstream and downstream.
Compliance:
- Stay abreast of changes in payroll laws and regulations, implementing necessary updates to ensure compliance and mitigate legal risks. Work closely together with the benefit and reward team that local legal changes are applied to global programs and in line with the payroll provider.
Provider Management:
- Oversee the day-to-day local relationship with the providers in the area of responsibility. Work closely with the provider to maintain a high quality.
System Management:
- Work together with the payroll provider on optimization of the payroll systems and software, identifying opportunities for automation and efficiency improvements. Oversee the interfaces between the payroll system with the HCM system and the time management systems in the area of responsibility.
Reporting:
- Generate and analyze payroll reports. Produce the statuary payroll reports accurate and timely and send them to the authorities.
Record Keeping:
- Maintain precise and up-to-date payroll records, including employee information, hours worked, benefits, and tax withholdings in alignment with the center of expertise.
Problem Resolution:
- Address and resolve payroll discrepancies or issues, working closely with other departments to ensure accurate and timely resolution.
Audit Support:
- Collaborate with internal and external auditors to facilitate payroll audits, ensuring accuracy and completeness of records.
Continuous Improvement:
- Identify opportunities for process improvement, streamline payroll procedures, and contribute to the overall efficiency of the payroll function.
Communication:
- Communicate payroll related information to employees, addressing inquiries and providing assistance when needed.
Confidentiality:
- Maintain the utmost confidentiality when handling sensitive employee information and payroll data.
About You
Bachelors degree in Payroll, Accounting, Finance or a related field, or postgraduate training.
Demonstrated experience in payroll management, with knowledge of payroll processes and regulations across different countries.
Experience in provider management; prior work on the provider side is considered an asset.
Knowledge of payroll software and systems.
Analytical and problem-solving skills.
Communication and interpersonal abilities.
Experience working in multicultural environments.
Attention to detail and ability to maintain confidentiality.
The Payroll Specialist supports financial transparency and employee satisfaction within the organization.
