Job Description

The role of Personal Assistant to the Managing Director at NamanHR involves providing high-level administrative support to ensure the efficient operation and coordination of the Managing Director's activities. This position requires managing schedules, communications, and various administrative tasks while acting as a liaison between the Managing Director and internal/external stakeholders. The Executive Assistant must be flexible to work outside regular business hours when necessary. Key Responsibilities: Administrative Support: - Manage and maintain the Managing Director's calendar, including scheduling meetings, appointments, and travel arrangements. - Prepare and edit correspondence, reports, presentations, and other documents as needed. - Handle confidential information with discretion and professionalism. Communication Management: - Screen and prioritize emails, phone calls, and other communications. - Draft and proofread communications on behalf of the Managing Director. - Coordinate communication between the Managing Director and other executives, employees, and external parties. Meeting Coordination: - Organize and prepare materials for meetings, including agendas, presentations, and minutes. - Attend meetings, take notes, and ensure follow-up on action items. Project Management: - Assist in the planning and execution of special projects. - Track progress and deadlines, ensuring timely completion of tasks. Travel Arrangements: - Plan and coordinate domestic and international travel itineraries. - Handle travel-related logistics, including transportation, accommodations, and expense reports. Event Planning: - Assist in planning and organizing company events, meetings, and conferences. - Manage event logistics and liaise with vendors and service providers. Required Skills: - Exceptional organizational and time-management skills. - Strong written and verbal communication abilities. - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). - Ability to work independently and as part of a team. - Strong problem-solving skills and attention to detail. - High level of discretion and confidentiality.
