Job Description

Role Overview: As an Order Management agent, your primary responsibility will be to provide transactional support for order booking, email support, customer/stakeholder calls, and inquiry management. You will be tasked with validating customer orders and documents, entering them accurately into the designated order management systems (Oracle R12), and ensuring compliance with contract terms, pricing, purchase orders, quotes, and product/service configurations. Your role will involve supporting Enterprise and Healthcare segments, reviewing documentation, confirming order accuracy, maintaining system updates, resolving issues, ensuring compliance, and providing regular reporting on order volumes and performance metrics. Key Responsibilities: - Validate customer orders and documents, and accurately enter them into the order management system (Oracle R12) while adhering to contract terms, pricing, purchase orders, quotes, and product/service configurations. - Provide tailored support for Enterprise and Healthcare segments, review customer documentation, verify alignment with pricing and terms, populate required fields accurately, resolve discrepancies, and ensure compliance with internal policies. - Confirm order accuracy based on sales-provided documents verified by the deal desk, cross-check product details, pricing, contract entitlements, and billing/shipping information, and collaborate with relevant teams to ensure compliance. - Maintain real-time updates in ERP/CRM systems, coordinate with various teams including sales, AR, Deal Desk, finance, and customer service to ensure seamless order execution and timely issue resolution. - Proactively identify and resolve discrepancies in order data, escalate complex issues following defined protocols, and engage stakeholders for investigation and resolution. - Ensure all order processing activities comply with regulations, SOX, and internal policies by following internal controls, maintaining documentation for audit readiness, and updating systems accurately. - Provide regular reporting on order volumes, accuracy rates, turnaround times, and service level performance by collecting, analyzing, and maintaining accurate data using reporting tools and dashboards. Qualifications Required: - Bachelor's degree in Business Administration, Commerce, or a related field. - Prior experience in order management, customer service, or a similar role. - Strong attention to detail, organizational skills, and ability to work in a fast-paced environment. - Excellent communication and collaboration skills to engage with cross-functional teams and stakeholders effectively. - Proficiency in using ERP/CRM systems such as Oracle R12, Salesforce, or BI platforms for order processing and reporting. - Knowledge of regulatory guidelines, SOX requirements, and internal controls related to order management processes.
