Job Description

Role Summary:

  • Oversee daily functioning of OHCs/Medical rooms across assigned locations.
  • Ensure timely availability of staff, medical equipment, medicines, and consumables.
  • Monitor duty rosters, shift rotations, and leave management for medical staff.
  • Coordinate with vendors for medical supplies and consumables.

2. Compliance & Documentation:

  • Ensure adherence to statutory norms including Factory Act, OSHA, ESIC, and other local/state regulatory requirements.
  • Maintain and audit records: medical registers, patient records, incident reports, and fitness certificates.
  • Support in preparation for client and statutory audits.
  • Monthly billing and invoices coordination with internal team and client finance team

3. Client Coordination:

  • Serve as a primary point of contact for client communications.
  • Attend client meetings, review feedback, and drive improvement initiatives.
  • Share timely reports and updates as per SLA (Service Level Agreement).

4. Quality & Service Delivery:

  • Implement SOPs for OHC operations and monitor adherence.
  • Ensure quality checks for equipment calibration, medicine expiry, infection control protocols, and waste disposal compliance.
  • Regularly review and improve service levels based on feedback and performance metrics.

5. Reporting & MIS:

  • Prepare and share daily/weekly/monthly reports on OHC/medical room performance, manpower, medical cases, health checkups, billing, etc.
  • Assist in data analytics and dashboards for senior management review.
  • Monthly update on ageing payments, receivable and early settlement.

Desired Candidate Profile:

  • Graduate in any stream. Preference for candidates with healthcare, life sciences, or operations management background.
  • PG Diploma in Hospital Administration / Occupational Health / Industrial Health (Preferred).

Experience:

  • 3-5 years in healthcare operations, preferably in managing onsite medical rooms or corporate OHCs.

Skills:

  • Strong coordination and multitasking ability.
  • Good written and verbal communication.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Knowledge of statutory health norms and safety regulations.
  • Ability to work with cross-functional teams and vendors.

Other Requirements:

  • Willingness to travel across sites (if required).
  • Flexibility to handle emergency situations.
  • Knowledge of First Aid / Basic Life Support (BLS) is an added advantage.
