Job Summary:

The Documentation Executive will be responsible for preparing, managing, and tracking all critical documents related to international shipments, including exports, imports, customs clearance, and logistics coordination. The role ensures smooth and compliant global movement of goods and maintains strong coordination with freight forwarders, customs agents, and internal teams.

Key Responsibilities:

1. Export Documentation

• Prepare commercial invoices, packing lists, bill of lading, and certificate of origin
• Coordinate with CHA for shipping bills and customs clearance
• Handle documentation for LC, non-LC, and advance payment shipments
• Ensure correct HS codes and product descriptions as per export norms

2. Import Documentation

• Maintain import purchase orders, advance payment records, and follow-up on shipments
• Coordinate with suppliers for proforma invoices, shipping docs, and insurance
• Track and record bill of entries, duties, and clearance formalities

3. Logistics & Coordination

• Liaise with freight forwarders, transporters, and warehouse for dispatch planning
• Prepare shipping schedules and communicate with production team
• Maintain container tracking records and update clients with ETD/ETA

4. Record Keeping & Filing

• Maintain soft and hard copies of all documents in an organised format
• Maintain logs of shipping details, document versions, and clearance status
• Upload and archive data on ERP (if applicable)

5. Compliance & Reporting

• Ensure accuracy in export-import data for audits and DGFT reporting
• Update data for MEIS, RODTEP, EPCG, etc., wherever applicable
• Support in applying for government benefits or schemes

Qualifications & Skills:

• Graduate or Postgraduate (preferably in Commerce/International Business)
• 2+ years of experience in export-import documentation

Good knowledge of:

• INCOTERMS
• Customs procedures
• DGFT documentation
• Proficiency in MS Excel, Email, and basic ERP operations
• Excellent organisational and coordination skills
• Strong attention to detail
