Job Description

Advise Project Management on shipping materials and documentation for global studies.
Coordinate special arrangements with couriers and gather data from PM during protocol design.
Prepare commercial invoices, letters of instruction, and letters to airport police.
Operate courier systems to prepare package address labels, invoices, and other associated documentation.
Liaise with courier IT departments to resolve system faults promptly.
Maintain shipping machines' address databases and ensure accuracy of address details in QLIQVIA.
QC all shipping documentation before shipping and track shipments, following up on problem shipments.
Monitor inventory levels and maintain a minimum operating stock level for all couriers' material.
Train new staff in the operation of all courier systems and monitor processes within Logistics to increase quality and efficiency.
Produce daily courier manifest reports and maintain records, archiving quality data and filing/shipping material for all couriers.
Maintain a record of returned/damaged shipments and produce monthly metrics reports relating to the Logistics Group and Courier performance.
Stay updated on customs and shipping regulations/restrictions worldwide and communicate changes effectively.
Ensure all paperwork generated by photocopying is done in a quality manner to provide a professional appearance, and that all faxed documentation is professionally presented prior to faxing.
Assist Finance with VAT and obtain VAT reports and recovery efforts.
Research and report on shipment and service inquiries from internal and external clients.
May have routine or ad-hoc contact with study Sponsors.
Provide site address corrections data to PM for correction in source systems from Courier exception reports.
