Role Overview

The Junior Personal Assistant to the CMD will support the CMD in managing schedules, coordinating meetings, preparing documentation, and ensuring smooth day-to-day operations of the CMD s office. This role is ideal for a proactive, well-organized graduate who can handle tasks with discretion, accuracy, and efficiency in a fast-paced environment.

Key Responsibilities

1. Calendar & Meeting Coordination

Maintain and manage the CMD s calendar, including scheduling and confirming appointments
Coordinate internal and external meetings in line with CMD s availability
Anticipate scheduling conflicts and suggest alternatives
Send timely meeting invites, reminders, and follow-up notifications

2. Meeting Management & Documentation

Prepare meeting agendas in consultation with relevant stakeholders
Attend meetings as required and record clear, actionable minutes of meeting (MoM)
Track follow-ups and ensure timely closure of assigned action items
Maintain accurate records of discussions and communications

3. Communication & Coordination

Act as a point of contact between CMD s office, internal teams, and external stakeholders
Share timely updates, messages, and instructions from CMD s office
Handle communication with professionalism and confidentiality

4. Administrative & Logistical Support

Organize and maintain CMD s office documents and filing system
Assist with report preparation, presentation formatting, and basic document reviews
Coordinate travel arrangements, bookings, and logistics as required

Excellent verbal and written communication in English
Ability to multitask, prioritize, and maintain attention to detail
Professionalism, discretion, and integrity in handling sensitive matters

Technical Proficiency

MS Outlook, Word, Excel, and PowerPoint
Video conferencing tools (Zoom, Microsoft Teams, Google Meet)
Basic documentation and report formatting skills
