Job Summary

The IT/System Auditor – Pharmacy is responsible for ensuring the accuracy, security, integrity, and compliance of all digital pharmacy operations. This includes auditing pharmacy transactions in Hospital Information Systems (HIS), Enterprise Resource Planning (ERP), and Electronic Medical Records (EMR), ensuring that digital data aligns with physical stock and billing, and detecting system gaps, misuse, or vulnerabilities.

This role plays a critical part in data integrity, financial control, and regulatory compliance of hospital pharmacy operations.

Key Responsibilities

1. System & Data Audit

· Audit pharmacy transactions in HIS/EMR/ERP systems (inward, dispensing, billing, stock adjustments).

· Ensure digital stock data matches physical stock records.

· Review system-generated reports and logs for accuracy and consistency.

· Verify that controlled drug entries are properly tracked in the system.

2. Access Control & Security

· Audit user access rights to pharmacy modules (create/read/edit/delete).

· Identify unauthorized logins or suspicious activities.

· Ensure role-based access control (RBAC) is implemented.

· Coordinate with IT department to block/modify inappropriate access.

3. Process Compliance

· Check that all digital transactions follow defined pharmacy SOPs.

· Identify process gaps or manual overrides in HIS.

· Verify dispensing, return, and billing workflows are system compliant.

· Ensure FIFO/FEFO and expiry tracking modules are functioning as intended.

4. System Integrity & Error Tracking

· Identify duplicate entries, mismatch between GRN (Goods Receipt Note) and invoices.

· Track cancelled bills, manual corrections, and stock adjustments.

· Audit system patches or software updates for compliance impact.

· Monitor data backups, disaster recovery, and archival processes.

5. Regulatory & Quality Support

· Ensure HIS/ERP data supports compliance with NDPS, Schedule H/H1/X, NABH, and other regulatory norms.

· Support documentation for NABH, JCI, or ISO audits.

· Ensure audit trails are maintained and retrievable.

6. Reporting & CAPA

· Prepare periodic IT audit reports for pharmacy operations.

· Highlight deviations, risks, and system gaps with evidence.

· Recommend corrective and preventive actions (CAPA) to pharmacy and IT teams.

· Follow up on closure of CAPA.

7. Training & Support

· Educate pharmacy staff on secure and correct system usage.

· Conduct mock audits and help strengthen digital controls.

· Liaise between pharmacy and IT departments to streamline workflows.

Required Skills & Competencies

· Strong knowledge of Hospital Information Systems (HIS) and pharmacy modules.

· Experience with EMR / ERP / POS / stock management software.

· Understanding of pharmacy workflows and data flow in hospital systems.

· Proficiency in Excel, SQL queries (basic), and data analysis.

· Familiarity with NDPS and regulatory reporting requirements.

· Excellent analytical, documentation, and troubleshooting skills.

· Understanding of IT security, access control, and audit trails.

· Strong communication and coordination skills with cross-functional teams.

Qualification & Experience

· Graduate / Postgraduate in IT, Computer Science, Healthcare Informatics, or equivalent.

· Preferred: Certification in IT Audit / ISMS / ISO 27001 / CISA (for advanced roles).

· 3–5 years of experience in HIS/EMR or healthcare IT systems.

· Exposure to pharmacy operations or healthcare domain is highly preferred.

· Experience working in NABH or JCI-accredited hospitals is a plus.

Job Types: Full-time, Permanent

Pay: ₹25,000.00 - ₹60,000.00 per month
