Job Summary We are seeking a highly organized and detail-oriented ISO Documentation Specialist to join our Compliance and Quality Assurance team. The ideal candidate will be responsible for creating, managing, and controlling all documentation required to support our Quality Management System (QMS) and Information Security Management System (ISMS), primarily focused on ISO 9001:2015 and ISO/IEC 27001:2022 compliance. This role ensures that all company policies, procedures, work instructions, and records are current, accurate, and accessible, facilitating smooth internal and external audits. Key Responsibilities Documentation Management: Develop, write, review, and maintain all quality and security-related documentation (e.g., Quality Manual, Policy Statements, SOPs, Work Instructions, Forms, and Records) in alignment with ISO standards (e.g., ISO 9001, ISO 27001). Establish and manage a robust document control system, ensuring proper version control, distribution, and archival/retention policies are strictly followed. Review existing documentation for clarity, completeness, accuracy, and compliance with organizational goals and regulatory requirements. Compliance and Audit Support: Assist in the preparation and coordination of internal and external ISO audits, acting as the primary point of contact for documentation requests. Ensure all departments are adhering to documented procedures and policies. Track and manage corrective and preventive actions (CAPAs) and non-conformances (NCs), ensuring root cause analysis and timely closure. Cross-Functional Collaboration: Liaise with department heads (e.g., Operations, IT, HR) to gather input, review process flows, and formalize process documentation. Conduct training sessions for employees on document control procedures, quality policy, and process adherence. Support the implementation of new standards or system improvements as required. Continuous Improvement: Identify opportunities for process improvement and documentation simplification while maintaining compliance integrity. Maintain the documentation change management process (DCM) workflow and tracking system. Required Qualifications and Skills Education: Bachelor’s degree in Business Administration, Quality Management, Technical Writing, or a related field. Experience: 1+ years of experience in a documentation, quality assurance, or compliance role, specifically dealing with ISO standards. Technical Expertise: Proven experience writing, implementing, and managing documentation for either ISO 9001:2015 (Quality) or ISO 27001:2022 (Information Security), or both. Documentation Tools: Proficiency with documentation management systems (DMS) or quality management software (QMS) and standard office software (e.g., Microsoft Word, SharePoint, Confluence). Soft Skills: Exceptional attention to detail and accuracy. Strong technical writing and verbal communication skills. Ability to translate complex processes into clear, concise, and easy-to-understand documentation. Excellent project management and organizational skills, with the ability to manage multiple document projects simultaneously. Preferred QualificationsISO 9001 Lead Implementer or Lead Auditor certification (or equivalent). Experience in a regulated industry (e.g., Finance, Healthcare, Government, or Technology). Familiarity with other frameworks such as ISO 14001, ISO 45001, or SOC 2. Experience with process mapping and visualization tools (e.g., Visio, Lucidchart).
