Job Description

Position: Import–Export Documentation Executive Department: Customs Clearance / Freight Forwarding Location: [Insert City or Branch Name] Reporting To: Operations / Documentation Manager --- Purpose of the Role: To manage and execute all import and export documentation activities efficiently and accurately, ensuring smooth customs clearance, timely cargo movement, and compliance with all statutory requirements. The role demands coordination between clients, shipping lines, CHA, transporters, and internal teams for end-to-end documentation control. --- Key Responsibilities: 1. Documentation Management Prepare and verify import/export documents such as Invoice, Packing List, Bill of Lading, COO, LC documents, and shipping instructions. File Bill of Entry / Shipping Bill using CHA software or coordinate with CHA for the same. Ensure proper filing of pre-alerts, arrival notices, and DO releases from shipping lines. Maintain all documentation as per DGFT, Customs, and Port requirements. 2. Coordination & Communication Liaise with clients, shipping lines, freight forwarders, and transporters for document collection and clearance updates. Follow up with customs, CFS, and port officials for smooth cargo clearance. Communicate shipment status and documentation progress to clients proactively. 3. Compliance & Accuracy Ensure all import/export documentation adheres to Customs, DGFT, and RBI regulations. Validate HS Codes, duty structures, and license requirements before filing. Maintain records for audit and compliance purposes. 4. Operational Support Coordinate for container release, gate pass, and delivery order issuance. Assist in preparing monthly MIS reports on cleared shipments. Handle amendments, re-submissions, and re-export/re-import documentation when required. --- Skills & Competencies: Strong knowledge of Customs Clearance procedures, HS Codes, and EXIM policies. Proficiency in MS Office, CHA/ICEGATE systems, and EDI filing. Excellent written and verbal communication skills. Attention to detail, accuracy, and ability to handle multiple shipments simultaneously. Strong coordination and follow-up skills. --- Qualification & Experience: Graduate / Diploma in Logistics, International Business, or Supply Chain. 2–5 years of experience in import/export documentation, preferably with CHA or freight forwarding company. Knowledge of HS Codes, Port operations, and DGFT documentation preferred.

Job Types: Full-time, Permanent

Pay: ₹35,000.00 per month
