Position Purpose

The Immigration Case Manager is responsible for managing end-to-end casework for employer-sponsored visas, with a primary focus on Subclass 482 (Temporary Skill Shortage) and Subclass 186 (Employer Nomination Scheme) visa applications. The role ensures that applications are prepared, lodged, and monitored in accordance with Australian immigration laws, departmental requirements, and internal quality standards.


The Immigration Case Manager will work closely with employers, sponsored employees, and other stakeholders to gather required information, assess eligibility, and develop tailored case strategies. They will provide clear guidance and updates to clients throughout the visa process, maintain accurate case records, and proactively manage compliance and deadlines.


This role contributes directly to the success of clients’ sponsorship and visa outcomes while supporting the firm’s reputation for excellence in migration law services




Key Responsibilities


Case Coordination and Workflow Oversight


  • Manage the end-to-end preparation of visa applications in alignment with internal procedures and deadlines.
  • Monitor matter progress and coordinate task completion with assigned Case Assistants.
  • Identify delays or documentation gaps and escalate appropriately.


Documentation and System Management


  • Review and compile client documents to meet submission standards.
  • Populate application forms and structured data fields using verified client information.
  • Maintain accurate case records in platforms such as Migration Manager and Pipedrive


Client Communication Support


  • Draft non-legal correspondence including document requests, submission timelines, and checklist summaries.
  • Follow up with clients for outstanding materials in accordance with internal protocols.
  • Record all communications accurately using approved templates


File Closure and Handover

  • Finalize preparation of visa application bundles for internal legal review.
  • Support case closure activities, including archiving and final documentation updates.


Key Deliverables


  • Visa application files that are complete, well-organized, and ready for internal legal review
  • Timely and accurate submission of Subclass 482 and 186 visa applications
  • Coordination of the entire visa lifecycle: initial application, tracking, follow-ups, and outcome management.
  • Preparation, coordination, risk-flagging and readiness for Senior lawyer review
  • Structured updates to internal checklists and case systems in line with task completion
  • Client documents labeled, formatted, and uploaded in accordance with internal standards
  • Communications recorded and filed in correct templates and locations
  • Compliance & Deliverability


Compliance and Confidentiality


  • All work must be completed using approved systems. 
  • Client materials must be handled confidentially and accessed only for authorised purposes. 
  • Any client-facing document or communication is issued only after the required internal review and sign-off by authorised personnel. 
  • Legal advice, lodgement, and final sign-off remain with supervising lawyers or their designated managers. 

  

Additional Duties

  • Support on boarding and supervision of Immigration Case Assistants.
  • Perform other duties as required to meet operational and service delivery objectives

Essential Skills


Organisation and Accuracy

  • Ability to manage documents with precision and maintain consistent digital records
  • Strong attention to formatting, naming conventions, and version control

  • Clear, professional written communication for internal use and non-legal client correspondence
  • Respectful, reliable engagement with team members and supervisors


Technology and Systems

  • Familiarity with Google Workspace and the ability to learn specialised platforms (e.g., Migration Manager, Pipedrive)
  • Confidence in maintaining structured case data and digital files


Team Contribution

  • Willingness to follow established procedures and work under supervision
  • Proactive and accountable in completing assigned tasks


Qualifications and Experience

  • Bachelor’s degree in Law, Administration, or a related field
  • At least 1-3 years of experience in case preparation, visa services, or legal operations
  • Prior supervisory experience is desirable
  • Familiarity with Australian migration processes is an advantage but not essential
