Job Title:

Job Summary:

The Interview Scheduling Coordinator will be responsible for managing and executing the end-to-end interview scheduling process, ensuring a high volume of interviews (target: 25 interviews per day) are conducted efficiently and effectively. This role involves close coordination with recruiters, empaneled interviewers, candidates, and the technical support team to resolve scheduling and technical challenges while maintaining smooth communication among stakeholders.

Key Roles and Responsibilities:

Interview Scheduling & Coordination:

  • Schedule and manage daily interviews using interview scheduling tools such as HirePro or HireVue, adhering strictly to the interview scheduling templates.
  • Monitor the progress of interviews from scheduling to completion, ensuring timely execution and minimizing cancellations or no-shows.
  • Achieve daily interview completion targets (minimum 25 interviews per day).
  • Identify and escalate interview scheduling roadblocks promptly to recruiters and recruitment leads.
  • Provide real-time suggestions and improvements to enhance scheduling efficiency and reduce issues like candidate no-shows or interviewer unavailability.
  • Coordinate with the technical support team to resolve any platform-related issues affecting interview completion.

Recruiter Coordination:

  • Educate and guide recruiters on the interview scheduling process and ensure compliance with the scheduling template requirements.
  • Collaborate closely with recruiters to identify and address scheduling inefficiencies, including incomplete details, candidate non-responses (CNR), and candidate no-shows (CNI).
  • Communicate regularly with recruiters to ensure smooth coordination and timely resolution of scheduling challenges.

Empaneled Interviewer Coordination:

  • Schedule and block interviewer calendars effectively through the scheduling tools.
  • Provide training and support to hiring managers and interviewers on using the interview scheduling platforms and best practices.
  • Communicate clear guidelines and expectations to interviewers to ensure interviews are conducted effectively and on time.
  • Conduct regular follow-ups to ensure interviewers join interviews promptly and submit timely feedback post-interview.

Candidate Coordination:

  • Schedule candidate interviews and ensure candidates complete all necessary pre-interview registrations and formalities.
  • Maintain regular communication with candidates to minimize no-shows and cancellations.
  • Provide candidates with clear instructions and guidelines to prepare them for the interview process.

Required Skills & Qualifications:

  • Excellent written and verbal communication skills.
  • Strong stakeholder management and interpersonal skills.
  • Basic knowledge of Microsoft Excel for reporting and data tracking.
  • Ability to multitask and manage time efficiently in a high-volume, fast-paced environment.
  • Experience: 0 to 1 year in scheduling, recruitment support, or coordination roles preferred.

Note:- PF or either Form16 Should be there for experience , its mandatory. And for Fresher mandatory to have PDC.
