Job Description

Responsibilities

Human Resources

  • Assist with the recruitment process, including posting job ads and scheduling interviews.
  • Maintain and update employee records (personal data, attendance, etc.).
  • Support in preparing HR documentation (e.g., employment contracts, performance reviews).
  • Assist with onboarding new employees, including orientation and documentation.
  • Help with managing employee benefits, such as leaves.
  • To handle monthly Staffs Claim.
  • Liaise with statutory bodies and relevant authorities and matters pertaining to labour laws, industrial relations, statutory requirements, tax and insurance

Personal Assistant (PA) Support

  • Manage and maintain the calendars of Executive Director.
  • Coordinate meetings, appointments, and travel arrangements.
  • Prepare meeting agendas, minutes, and follow-up action items
  • To handle properties management of director.
  • Handle confidential documents and maintain strict discretion.

Office Administration

  • Issue monthly invoices and AR collection.
  • Schedule meetings, prepare agendas, and take meeting notes.
  • Assist in office supply inventory and procurement.
  • Manage day-to-day office maintenance
  • Responsible for company vehicles, renewal of license, safety measures and cleanliness.
  • Perform any other duties as assigned by the Admin Operation Manager.

Qualifications

  • Candidate must possess at least Diploma / Advanced / Higher / Graduate Diploma Human Resource Management Business Studies / Administration / Management or equivalent.
  • Required language(s): Bahasa Malaysia, English, Mandarin
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Detail-oriented with good organizational and time management skills.
  • Ability to handle sensitive information with confidentiality.
  • Experience with Personal Assistant to Director will be an advantage.
  • At least 1 Year(s) of working experience in the related field is required for this position.
  • Good communication interpersonal skills.
