Job Description

Job Summary: The Head of Contracts/Tender will lead the tendering and contract management processes for a construction general contracting company, ensuring timely, accurate, and competitive bid submissions while overseeing contract execution, compliance, and documentation. The role involves strategic coordination with clients, consultants, and internal teams to drive successful project acquisition and delivery. Key Responsibilities: 1. Tender Management: Oversee the preparation, review, and submission of tenders, ensuring compliance with client requirements and company standards. Assign tender tasks to team members, guide site surveys, and evaluate technocommercial terms for bids. Coordinate with clients and consultants during negotiations to finalize contracts. Track tender statuses, maintain records, and archive documents for awarded/unawarded projects. Prepare pre-qualification documents and project-specific presentations outlining construction methodologies. 2. Contract Management: Facilitate seamless handover of awarded contracts to the execution team, ensuring all tender documents (drawings, specifications, BOQs) are complete and accessible. Maintain accurate contract documentation, ensuring compliance with ISO standards and project requirements. Review resource planning (labour, materials, equipment) to align with tender commitments. Monitor subcontractor agreements and billing documentation for accuracy and compliance. 3. Team Leadership: Train and mentor the tendering team on processes, systems, and critical contract requirements. Establish and implement systematic tendering procedures to enhance efficiency. Conduct performance reviews and present quarterly business plans to senior management. 4. Client and Stakeholder Coordination: Build and maintain relationships with clients, consultants, and internal teams (EHS, quality, execution). Monitor tender inquiries and prepare reports on prospective clients to strategize bidding efforts. 5. Compliance and Quality: Ensure tenders and contracts adhere to project specifications, quality plans, and safety standards. Oversee approvals for critical project elements (e.g., concrete mix designs) and ensure proper documentation. Skills: Strong knowledge of construction methodologies, tendering processes, and contract law. Proficiency in MS Office, AutoCAD, and tender management software. Excellent leadership, negotiation, and communication skills. Detail-oriented with strong analytical and problem-solving abilities. Key Competencies: Strategic planning and execution. Ability to work under tight deadlines and manage multiple tenders simultaneously. Strong understanding of cost estimation, risk assessment, and compliance requirements.
