Job Description

  • Greets, Verifies and directs visitors/guests to the relevant department/Host.
  • Greet each visitor/guest upon arrival and determine their needs.
  • Address customer concerns and answer any questions to the best of their knowledge.
  • Assume responsibility for the safety of their visitors/guests and supervise other staff members when necessary.
  • Anticipating guest needs and building rapport with them.
  • Attend to special guests (e.g. VIPs) and answer their inquiries.
  • Providing information about amenities, areas and venues and promoting services.
  • Help prepare welcome folders with collateral (e.g. room service menus, area descriptions).
  • Provide information about amenities, areas and venues and promote services.
  • Anticipate guest needs and build rapport with customers
  • Issues and collects badges and passes to visitors authorized to enter company property.
  • Responsible for visitor management including DPS and visitor records.
  • Responsible for reception area to maintain a high level of cleanliness & presentability.
  • Applies appropriate protocol, discretion, and diplomacy when assisting such visitors as government officials, company customers, and the media.
  • Takes proper facilities round every morning & take appropriate corrective actions as required.
  • Shows sensitivity to the culture and customs of local and foreign visitors
  • Implements magazine/newspaper subscriptions / Cable TV subscriptions on a need basis.
  • Monitor all the various registers kept at the front desk & rear entrance.
  • Attends incoming phone calls.
  • Responsible for office supplies (stationery, cafeteria and cleaning) & Inventory keeping
  • Arranges conference calls as & when requested by end users
  • Provides general administrative support to all employees and visitors
  • Supports BGES team during any event as & when directed
  • Supports the HR team during mass recruitment drive/hiring drive
  • MIS – Daily, Weekly & Monthly e.g., dialogic/call tree etc. or as directed by the BSS/BSM
  • Update & Circulate the desk phones extension list
  • Manage Meeting room booking requests by end users
  • Custodian / responsible for employee RFB / IT claims onward dispatch to BDO from time to time
  • Maintaining & reconciling the Distribution List (DL) for respective towers periodically
  • Get trained in FAS/PAS & help employees during any emergency evacuation.

Basic Qualifications (Required Skills/Experience)

  • Minimum of Bachelor’s degree, Graduate in hospitality/administration/Engineering or equivalent.
  • At least 5+ years of relevant work experience

Skill Set

  • Able to collaborate with internal team members as well as external stakeholders
  • Effective Communicator with good verbal and written communication skills
  • Knowledge of advanced Microsoft Office tools (Word, Exel, PowerPoint, etc)
  • Good interpersonal skills and Intermediate analytical skills
  • Quick learner & has an eye for details.
  • Customer-focused and Capability to manage and lead teams.
