Job Description

Job Summary

We are seeking a motivated and dynamic Front Office Manager to join our team at Soleus. If you have a flair for customer service and thrive in a people-first environment, this role is for you. You’ll be the face and voice of our studio - ensuring a seamless client experience and supporting day-to-day operations. We work 6 days (Sundays off) with 9-hour shifts. WhatsApp monitoring on Sundays may be required.


Key Responsibilities:

  • Greet and welcome clients in a professional and friendly manner, both in-person and virtually via WhatsApp, phone, and email.
  • Manage scheduling for personal training sessions, physiotherapy appointments, and Pilates classes, ensuring smooth coordination.
  • Handle client inquiries and provide information regarding services, pricing, and availability.
  • Maintain accurate records of client interactions and appointments using Excel and other internal systems.
  • Coordinate with trainers, physiotherapists, and Pilates instructors to ensure seamless communication and client satisfaction.
  • Assist in maintaining a clean and organized front office environment.
  • Resolve client issues and concerns in a timely and professional manner, ensuring a positive experience.
  • Support the management team with administrative tasks, as required.


Qualifications & Skills:

  • Any Bachelor’s degree and 2 years+ Experience in a similar role. Prior experience in the hospitality, wellness, and fitness space preferred.
  • High proficiency in English, both written and spoken, with excellent communication skills.
  • Strong interpersonal skills and ability to engage with clients face-to-face and remotely.
  • Proficient in using Microsoft Excel / Google Sheets for scheduling, reporting, and client management.
  • Familiarity with WhatsApp, email, and phone communication platforms.
  • Strong attention to detail and organizational skills.
  • Ability to multi-task, manage time efficiently, and handle client concerns with professionalism.
