Job Summary

The Front Desk Executive serves as the first point of contact for students, parents, visitors, and staff. The role involves managing the reception area, handling inquiries, maintaining school communication, and ensuring smooth day-to-day administrative operations at the front office.

Key Responsibilities

  • Front Office Management
  • Greet visitors, parents, and students courteously and direct them to the appropriate departments or personnel.
  • Manage incoming and outgoing calls, emails, and messages professionally.
  • Maintain a neat and welcoming reception area.
  • Communication & Coordination
  • Handle inquiries regarding school admissions, activities, and general information.
  • Coordinate with academic and administrative departments for smooth information flow.
  • Distribute circulars, notices, and official correspondence as instructed.
  • Record Keeping & Documentation
  • Maintain visitor records, student attendance updates (if required), and front desk logs.
  • Manage courier, mail, and document dispatches.
  • Support data entry and maintain confidentiality of school records.
  • Administrative Support
  • Assist in organizing school events, meetings, and parent interactions.
  • Coordinate with transport, housekeeping, and security departments as required.
  • Maintain stock of front-office supplies and ensure availability.
  • Professional Conduct
  • Uphold the school’s image by maintaining a polite, professional, and service-oriented approach.
  • Handle sensitive information with discretion.
  • Follow all school policies, procedures, and safety regulations.

Qualifications & Skills Required

  • Bachelor’s degree (preferred in Administration, Commerce, or related field).
  • Prior experience in a school or educational setup preferred.
  • Excellent communication skills in English, Hindi, and Gujarati.
  • Proficient in MS Office (Word, Excel, Email, etc.).
  • Pleasant personality with strong interpersonal skills.
  • Ability to multitask and manage time effectively.
