Job Title: Front Desk Executive – Immigration Services
Reports To: Operations Manager / Branch Manager
Location: Mohali
Employment Type: Full-time

Job Summary:

The Front Desk Executive serves as the first point of contact for clients visiting or contacting the immigration office. The role involves greeting clients, handling inquiries, managing appointments, maintaining client records, and providing administrative support to the immigration consultants and management team.

Key Responsibilities:

  • Welcome and assist walk-in clients and visitors in a professional and courteous manner.
  • Handle incoming phone calls, emails, and messages; respond to inquiries or route them to the appropriate team members.
  • Schedule and manage client appointments for immigration consultations and follow-ups.
  • Maintain and update client records and databases with accuracy and confidentiality.
  • Assist clients with filling out forms, document submission, and other administrative requirements.
  • Coordinate with immigration consultants, case officers, and other departments for smooth workflow.
  • Manage front office inventory and ensure cleanliness and orderliness of the reception area.
  • Track client follow-ups, document submissions, and pending cases.
  • Maintain confidentiality of sensitive information and client data.
  • Support office operations by performing administrative duties such as photocopying, scanning, filing, and courier management.
  • Handle payments, issue receipts, and maintain basic records of client transactions (if applicable).

Qualifications and Skills:

  • Bachelor’s degree in any discipline (preferred in Administration, Hospitality, or related field).
  • 1–3 years of experience in front office, customer service, or administrative roles — experience in immigration, visa, or education consultancy preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Proficient in MS Office (Word, Excel, Outlook) and CRM software.
  • Professional appearance and positive attitude.
  • Ability to handle sensitive client information with discretion.
  • Fluency in [English / local language]; knowledge of additional languages is a plus.
