Experience Requirement

  • Minimum

    3-5 years of relevant experience

    in Front Desk, Reception, or Administrative roles.
  • SAP (added advantage)

Front Desk & Reception Management

  • Greet and assist visitors, clients, and vendors in a professional and courteous manner.
  • Manage visitor entry, issue visitor passes, and maintain accurate visitor registers.
  • Handle incoming calls, emails, and walk-in inquiries, and route them to the appropriate departments.
  • Ensure cleanliness, discipline, and a professional appearance of the reception area at all times.

Communication & Coordination

  • Coordinate effectively with internal departments for meetings, appointments, and visitor management.
  • Communicate clearly and professionally with vendors, service providers, and external stakeholders.
  • Support management with day-to-day administrative communication and coordination.

Administrative Support

  • Assist in preparing letters, emails, reports, and basic documentation.
  • Maintain and update office records, files, and registers (both soft and hard copies).
  • Support the HR/Admin team in routine administrative tasks as assigned.

Office & Facility Support

  • Coordinate with housekeeping, security, and maintenance teams to ensure smooth office operations.
  • Report, track, and follow up on office infrastructure or facility-related issues.
  • Ensure meeting rooms are prepared and well-maintained (cleanliness, stationery, water, etc.).

Vendor & Inventory Coordination

  • Coordinate with vendors for office supplies and services.
  • Maintain records of stationery, pantry items, and office consumables.
  • Ensure availability of required materials while avoiding shortages or excess inventory.

Meeting & Travel Assistance

  • Assist in scheduling meetings, booking meeting rooms, and arranging related logistics.
  • Provide support for basic travel arrangements as required.

Reporting & MIS

  • Prepare daily and weekly reports related to visitors, calls, and administrative activities.
  • Share MIS reports with the Admin team as required.
  • Track pending tasks and ensure timely closures.

Purchase & Accounts Support

  • Handle Purchase Requests (PR) and Purchase Orders (PO) related activities.
  • Possess basic knowledge of invoice processing and documentation.
  • Working knowledge of SAP will be an added advantage.
