Purpose

Provides assistance to the Facilities Manager, including accurate and timely processingof invoicing, communication with internal and external stakeholders, submitting and follow up on work orders.

Tasks & Responsibilities

✓ Maintenance and Repairs✓ Oversee and coordinate routine maintenance and ensuring timely completion of reactive works✓ Coordinate with staff, vendors and contractors to address issues✓ Receive manage and prioritize work orders, ensuring timely completion and follow-up✓ Administration

Daily processing of invoices
Monthly Invoice reconciliation
Follow up of late invoices to ensure processing within the accounting period is achieved
Compilation of energy usage across the facilities

✓ Safety Compliance

Review and Filing of compliance documentation in line with Australian standards
Analysis of completion to identify short falls / risk to the business.
Coordinate required training with sites in conjunction with relevant companies.

✓ Financial controls

Release work orders in line with financial limits
Approval of minor spend as required to ensure timely completion of works
Quote compilation and data entry for FM review

Key Relationships

Store Support Centre - all Departments
Contractors - Across all states and territories
Store, DC and Regional managers
