Job Summary

Should have 3-5 years of experience as an assistant or secretary to the MD of a company ( but here we do not need a conventional E.A. we technically need one like Anna Hathway in the movie- The Devil Wears Prada). Having said that it is usually very difficult to find one like her so we will find one as close to her as possible or will train .


The Executive Coordinator will provide high-level administrative support to senior executives, ensuring efficient operation of the office and smooth coordination of executive activities. This role demands excellent organizational skills, discretion, and the ability to manage multiple priorities.


Key Responsibilities

·       Manage and maintain executives’ schedules, appointments, and travel arrangements.

·       Coordinate meetings, prepare agendas, and take meeting minutes.

·       Serve as the primary point of contact between executives and internal/external stakeholders.

·       Prepare reports, presentations, and correspondence on behalf of executives.

·       Handle confidential information with professionalism and discretion.

·       Assist in planning and organizing company events and executive team activities.

·       Manage expense reports and budgeting tasks related to executive functions.

·       Facilitate communication across departments to ensure timely completion of executive directives.

·       Perform other administrative duties to support the executive team.


Qualifications

·       Bachelor’s degree in Business Administration, Management, or related field preferred.

·       Proven experience (typically 2-5 years) in an executive support or coordination role.

·       Excellent communication and interpersonal skills.

·       Strong organizational and multitasking abilities.

·       Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

·       Ability to handle confidential information with discretion.

·       Problem-solving skills and ability to work independently.

·       Attention to detail and a proactive attitude.


Preferred Skills


EXCELLENT FOLLOW UP SKILLS

All other skills we can her into. Follow up skills she shoud have.

·       Should have working knowledge of MS Office especially EXCEL & Word.

·       Good Command over English

·       Shorthand

·       Experience with calendar management tools (e.g., Outlook, Google Calendar).

·       Ability to work under pressure and meet tight deadlines.


Others

·       Married preferably with kids

·       Staying 45 mins travelling time from your office

·       There should be job stability, not someone who has been jumping jobs often

·       Should be honest

·       Should be open to doing personal tasks of boss.
