Job Description

Key Responsibilities:1. Appointment & Calendar Management (Primary Focus)

  • Manage and maintain the MD’s daily calendar, including scheduling, rescheduling, and prioritizing appointments.
  • Coordinate internal and external meetings, ensuring no overlaps or conflicts.
  • Anticipate scheduling needs and proactively plan to optimize the MD’s time.
  • Send timely reminders and prepare briefing materials before each meeting.
  • Coordinate travel itineraries and ensure all logistics align with scheduled commitments.

2. Communication & Coordination

  • Act as the first point of contact for all calls, emails, and correspondence to the MD.
  • Draft, review, and manage emails, letters, and other official communications.
  • Liaise effectively with internal teams, clients, vendors, and stakeholders to ensure smooth communication flow.
  • Maintain professionalism and confidentiality in all interactions.

3. Meeting Support

  • Schedule and prepare agendas, presentations, and documents for meetings.
  • Record minutes of meetings, follow up on key actions, and track deliverables.
  • Ensure all required participants are informed and prepared in advance.

4. Office & Administrative Support

  • Organize and maintain files, documents, and confidential records.
  • Support in travel bookings, hotel arrangements, and expense management.
  • Assist in preparation of reports, business presentations, and other executive documents.

5. Task & Priority Management

  • Monitor deadlines, upcoming projects, and follow-ups on behalf of the MD.
  • Maintain a structured system for tracking tasks, commitments, and deliverables.
  • Ensure smooth day-to-day functioning of the MD’s office operations.

Key Skills & Competencies:

  • Exceptional organizational and time management skills — ability to handle multiple priorities.
  • Strong appointment and calendar coordination abilities.
  • Excellent communication skills (written and verbal).
  • High level of discretion, confidentiality, and professionalism.
  • Strong attention to detail and proactive problem-solving attitude.
  • Proficiency in MS Office (Outlook, Excel, Word, PowerPoint) and scheduling tools.

Qualifications & Experience:

  • Bachelor’s degree in Business Administration, Commerce, or related field.
  • 3–6 years of experience as an Executive Assistant, preferably supporting senior leadership.
  • Experience in managing high-volume calendars and corporate communication preferred.

Job Type: Full-time

Pay: ₹25,000.00 - ₹30,000.00 per month
