Executive Assistant (EA) to Managing Director

Département: Administration / Management Office

Reports To: Managing Director

Job Purpose

The Executive Assistant (EA) to the Managing Director provides administrative, coordination, and communication support to ensure smooth day-to-day operations of the MD’s office in a hotel environment. This role is ideal for a fresher looking to gain exposure to operations, senior management coordination, and hospitality leadership.

Key Responsibilities

  • Manage the MD’s daily calendar, meetings, and appointments
  • Coordinate internal meetings with HODs and prepare meeting agendas
  • Record minutes of meetings (MOM) and follow up on action points
  • Handle official emails, phone calls, and correspondence professionally
  • Prepare basic reports, presentations, and MIS related to hotel operations
  • Coordinate with departments such as Front Office, HR, F&B, Housekeeping, Finance, and Sales for updates and approvals
  • Maintain confidential records, files, and documents
  • Assist in travel arrangements, guest coordination, and official visits
  • Support the MD in daily administrative and operational requirements

Educational Qualification

  • Graduate in any discipline (Hotel Management Preferred but not mandatory)

Skills & Competencies

  • Basic knowledge of MS Office (Word, Excel, PowerPoint)
  • Good verbal and written communication skills
  • Strong coordination and follow-up skills
  • Professional appearance and polite demeanor
  • Ability to maintain confidentiality and work under guidance
  • Willingness to learn hotel operations and management processes
