Job Description

Position Summary

We are seeking a highly organized, proactive, and trustworthy Executive Assistant (EA) to provide comprehensive executive-level administrative support to the Director. The role requires exceptional business communication skills, strong presentation abilities, and advanced expertise in MS Excel and PowerPoint for preparing reports, dashboards, and high-quality presentations. Prior experience in the steel, manufacturing, or industrial sector will be strongly preferred.

Key Responsibilities 1. Executive Support & Calendar Management

  • Manage the Director’s calendar, appointments, meetings, and travel plans efficiently.
  • Coordinate internal and external meetings, ensuring proper scheduling and follow-ups.

2. Documentation & Communication

  • Draft, edit, and prepare correspondence, internal memos, official documents, and professional emails.
  • Act as a point of contact between the Director and internal teams, clients, vendors, and external stakeholders.
  • Handle confidential documents and sensitive business communications with complete discretion.

3. Reporting & Presentations

  • Prepare high-quality PowerPoint presentations for board meetings, client interactions, and performance reviews.
  • Maintain and update MIS reports, data sheets, and dashboards using advanced Excel tools (VLOOKUP, Pivot Tables, Charts, etc.).
  • Track ongoing projects and prepare timely status reports for the Director’s review.

4. Meeting Coordination & Event Management

  • Organize review meetings, conferences, and client visits on behalf of the Director.
  • Prepare agendas, take minutes, and ensure timely follow-ups on action items.
  • Assist in coordinating external events, plant visits, and industry exhibitions if required.

5. Administrative & Strategic Support

  • Assist the Director in strategic decision-making by providing timely insights, data, and reports.
  • Maintain a proper filing and documentation system for quick retrieval of important documents.
  • Support in handling high-priority tasks, deadlines, and operational requirements seamlessly.

Required Skills & Competencies

  • Mandatory: Strong proficiency in MS Excel (VLOOKUP, Pivot Tables, Charts) and MS PowerPoint.
  • Excellent written and verbal communication skills in English and Hindi.
  • Ability to multitask, prioritize, and work under pressure in a fast-paced environment.
  • High level of integrity, confidentiality, and discretion.
  • Strong organizational, analytical, and problem-solving skills.
  • Positive attitude with a professional and proactive approach.

Preferred Experience

  • 3+ years of relevant experience as an Executive Assistant supporting senior leadership, preferably in the steel, manufacturing, or industrial sector.
  • Familiarity with business operations, production schedules, financial reports, and industry-specific terminology.

Job Type: Full-time

Pay: ₹30,000.00 - ₹45,000.00 per month
