Job Description

Position Summary:

The Executive Assistant will provide high-level administrative and operational support to the Director at Prachar Communications, ensuring efficient management of their schedule, communications, and day-to-day priorities.


This role is pivotal in ensuring the Director’s time is optimized, communication is seamless, and the office runs smoothly to help achieve organizational objectives.


Location Vile Parle E

Onsite Mon-Fri & Alternate Saturdays working.


Key Responsibilities

Calendar & Meeting Management

Organize, coordinate, and maintain the Director’s calendar, including scheduling meetings, appointments, and events.

Prepare agendas, take minutes, and follow up on action items for meetings.

Travel & Logistics

Plan and book travel arrangements, accommodations, and transportation for the Director and occasionally for senior management.

Prepare detailed travel itineraries and ensure seamless execution.

Communication & Correspondence

Handle all incoming and outgoing communications, prioritizing messages and filtering as necessary.

Draft, proofread, and manage emails, memos, presentations, and official documents.

Serve as the primary point of contact between the Director and internal/external stakeholders.

Information & File Management

Maintain sensitive and confidential files (digital and physical), ensuring security and organized record-keeping.

Compile and prepare reports, presentations, and data summaries as directed.

Task & Project Coordination

Track project deadlines and deliverables, providing timely reminders and support.

Coordinate with other departments for cross-functional tasks or initiatives on behalf of the Director.

Office & Expense Administration

Manage reimbursements, expenses, and petty cash related to the Director’s activities.

Oversee procurement of supplies/tools as necessary for the Director’s office.

Confidentiality & Discretion

Handle all sensitive information with the highest level of confidentiality and professionalism.

Ad-hoc Support

Provide administrative support for events, special projects, and personal tasks as required by the Director.


Requirements & Skills

Bachelor’s degree (preferred).

2+ years of experience as an Executive Assistant, ideally supporting senior management.

Excellent organizational and time management skills.

Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and virtual meeting tools.

Outstanding written and verbal communication abilities.

Ability to work independently, prioritize tasks, and multitask in a fast-paced environment.

High degree of discretion, professionalism, and initiative.

Strong interpersonal skills and ability to work with stakeholders across all levels.
