Job Description

(A hybrid role supporting InsuredMine, SDBDJ Foundation, and personal administration)

 

The Executive Operations & Personal Administrator will serve as a key support partner to the CEO ensuring seamless coordination across his professional, social-impact, and personal domains. This role requires exceptional organization, discretion, communication skills, and the ability to manage diverse responsibilities with minimal supervision.

The individual will split their time across three core areas:

  • 30% – InsuredMine (Business Operations & Executive Support)

  • 50% – SDBDJ Foundation (Program Coordination & Social Impact Work)

  • 20% – Personal Administration (Non-business tasks and life logistics)

The role is ideal for someone who can operate with high trust, adaptability, and a proactive mindset.

1. InsuredMine Support (30%)

  • Manage Raution’s InsuredMine-related calendar, scheduling, and communication flow.
  • Assist with follow-ups, internal coordination, and documentation for leadership initiatives.
  • Prepare briefs, summaries, and drafts for meetings, presentations, and communications.
  • Coordinate travel logistics for InsuredMine events, conferences, and client interactions.
  • Handle confidential business information with professionalism and discretion.

2. SDBDJ Foundation – Social Impact Work (50%)

  • Oversee the planning, execution, and documentation of foundation projects (education, community initiatives, events, outreach).
  • Coordinate with volunteers, stakeholders, schools, local bodies, and vendors involved in foundation activities.
  • Maintain foundation calendars, budgets, reports, and project trackers.
  • Draft letters, proposals, schedules, and communication materials for foundation activities.
  • Assist Raution in building relationships with community leaders, organisers, and beneficiaries.
  • Manage on-ground logistics for foundation events, camps, workshops, and social programs.

3. Personal Administration (20%)

  • Take care of personal tasks such as:
  • Passport processing & renewals
  • Bills, fees, subscriptions
  • Travel planning (non-business)
  • Filing documents, organizing records
  • Coordinating household service providers
  • Managing tags, utilities, IDs, and renewals
  • Ensure smooth execution of day-to-day personal responsibilities that enable Raution to focus on high-impact work.

Core Skills & Expectations

  • Excellent communication skills in English, Hindi, and preferably Bengali.
  • High level of trust, confidentiality, and integrity.
  • Strong organizational and time-management abilities.
  • Ability to multitask across business, foundation, and personal work.
  • Proactive problem-solving mindset; anticipates needs ahead of time.
  • Comfortable coordinating with diverse groups—from senior executives to volunteers.
  • Willingness to travel occasionally for foundation and personal work.
