We are seeking a detail-oriented and proactive Executive Assistant – Operations to support the operational backbone of our Mutual Fund / ETF business. The candidate will work closely with senior leadership to ensure smooth functioning of daily operations, compliance with SEBI regulations, and coordination with ecosystem partners (RTA, Custodian, Fund Accounting, Exchanges, Trustees, etc.).
This is a high-visibility role that requires a blend of operations knowledge, process discipline, and stakeholder management.
Key Responsibilities
Operations & Process Management
• Assist in end-to-end ETF / Mutual Fund operations, including creation/redemption, settlement, NAV reconciliation, and reporting.
• Coordinate with RTA (CAMS/KFintech), Custodian, Fund Accountant, and Stock Exchanges (NSE/BSE) for seamless trade and settlement flows.
• Track operational KPIs, error logs, reconciliations, and ensure adherence to TATs and regulatory timelines.
• Support automation initiatives (OMS/EMS, workflow systems, RTA integrations, dashboards).
Compliance & Governance Support
• Maintain operational documentation as per SEBI, AMFI, and internal audit requirements.
• Support in SEBI/Trustee reporting, compliance certifications, and periodic filings.
• Monitor regulatory circulars impacting ETFs / Mutual Funds and highlight operational implications.
Executive Assistance
• Provide direct support to COO / Operations Head on daily priorities, follow-ups, and project execution.
• Manage schedules, prepare meeting notes, and track action items with internal teams and external partners.
• Create MIS, dashboards, and presentations for senior management and board meetings.
Cross-Functional Coordination
• Liaise with Product, Compliance, Technology, and Risk teams to ensure smooth fund operations.
• Act as first point of contact for operational escalations and resolution tracking.
• Assist in vendor due-diligence, RFPs, and service provider management.

Qualifications & Skills
• Graduate/Post-Graduate in Finance, Commerce, or related field; MBA/CFA/CA (preferred).
• 3–7 years of experience in Mutual Fund / ETF operations, RTA, Custodian, or AMC back-office.
• Strong knowledge of SEBI regulations, MF/ETF processes, and settlement cycles.
• Proficiency in MS Excel, PowerPoint; exposure to fund accounting / OMS platforms desirable.
• Excellent organizational, documentation, and follow-up skills.
• Ability to work under pressure, multitask, and interact with CXO-level stakeholders.
