This role of Executive Assistant for IIE will report to the Head of Engineering - Airbus India & South Asia.
Accountabilities

Preparation, Planning, Running and follow-up of the IIE management Meetings

Ensure Ho IIE agenda definition and coordination of significant events (business trips, Commodity session, Team talks, Town Halls etc), ensure prioritization and adequate deputation

Ensure cascade of information and proper follow-up of actions within IIE management and exec assistant community as we'll as we'll with IIE stakeholders. Action reviews for IIE and Board presentations

Prepare technical analysis for the Head of IIE on internal / external activities and projects. Ensuring that information based on this data is understandable, updated, consistent, synthesized, available and archived.

Deputise Head of IE in meetings where necessary

Provide all necessary data/documents and act as advisor for the Head of IIE on all business topics. Pro-actively prepare relevant information for any internal and external meetings and events

Coordination and creation of complex presentations with all different Stakeholders

Contribute to Project Management for IIE level initiatives when relevant

Promote process efficiency improvement, propose continuous improvement, Promote good project management practice and tracking systems in IIE community

Able to exchange with various Functions (H, F, P) as Exec Assistant and reporting accordingly

Interface with all relevant stakeholders to obtain the necessary information

Ensure signature of Ho IIE for internal and external documents,

Offer all relevant levels of support for communication, governance and organizational setup of the community

Ensure implementation of IIE management governance (Management meeting, MBR, Monthly Reports, People and Transformation Days,
Responsibility

Supporting the Head of IIE in its their day to day activities, anticipating the needs and preparing scenarii, decision-making- or presentations- material accordingly, including transnational, confidential &strategic topics, Airbus wide, for instance : Studying, filtering, and prioritizing all the working files, providing recommendations to the head of and follow up local implementations of decisions.

Liaising with relevant stakeholders on various topics/events and/or ensure deliverables reports/deadlines

The jobholder is responsible via influence and communication to foster the collaborative work through transnational / transfunctional teams, ensuring that they deliver as a team full value to Airbus, and ensure progress is made and reported in the actions defined

Managing the coordination of cross-functional and transnational interfaces, being able to

manage a broad network at all hierarchical levels to collect views from bottom-up approach

Maintain alignment and fluid communication across the community of Technical Assistants of all the 1 leadership team and beyond where necessary (O, AH, ADS).

Use span of exposure to identify new ideas for customer value, business needs and improvement opportunities across the business

Leading some specific action plans / projects and supporting the N-1 management team

Job holder is required to have coordination with other enabling function like HR, Finance, Procurement for regular Headcount, budget, hourly rate or Sub-contracting topics.

Job holder is required to synthetize key risks and Opportunities at IIE level and highlight them in timely manner.

Job holder will be responsible for managing and coordinating with relevant actors to have right level of information available for the leadership and organize and support the senior leadership visits.

Job holder will be responsible to support Head of Engineering with monthly and quarterly reporting and organize the communication at IIE level.

Business travels can be expected on a regular basis within India and Europe and consequently, the selected candidate must be willing to travel accordingly.

Bachelor or Master Degree

5+ years of experience in large organization managing different level of operations
