Job Summary: We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide top-notch administrative support to our senior leadership team. The ideal candidate will be a skilled multitasker with the ability to manage multiple priorities in a fast-paced environment, while maintaining a high level of professionalism and confidentiality. Key Responsibilities: Provide high-level administrative support to the managing director including managing schedules, calendars, and appointments. Attend meetings with the managing Director and take detailed notes. Act as a point of contact for meeting- related inquiries and clarification. Provide immediate Follow up on key discussion points and action items. Serve as a liaison between the managing director and other departments. Coordinate and schedule meetings, conference calls, and travel arrangements. Prepare and organize materials for meetings, including agendas, reports, and presentations. Handle incoming communications, including emails, phone calls, and mail, and prioritize them as necessary. Maintain accurate and organized filing systems, both physical and electronic. Assist in the preparation of reports, proposals, and presentations. Prepare expense reports and manage budget tracking for various projects and departments. Conduct research and compile data for special projects or initiatives. Assist in organizing company events, conferences, or team-building activities. Perform other administrative tasks as needed, including drafting correspondence, managing office supplies, and coordinating with other departments. Qualifications: Proven experience as an Executive Assistant or in a similar administrative role will be a added advantage. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools. Excellent written and verbal communication skills. Exceptional organizational and time management skills. Ability to work independently, anticipate needs, and solve problems proactively. High level of confidentiality and professionalism. Ability to handle sensitive information with discretion. Strong attention to detail and ability to prioritize tasks effectively. A degree in business administration, management, or a related field (preferred). Additional Skills : Fluency in additional languages is a plus. Fluency in English is Mandatory. Good Communication skills. Should be presentable and well- groomed. Should be Pro Active.
