Job Description

Role Summary:

To support the Managing Director by serving as the MDs right hand, ensuring seamless execution across calendars, travel, meetings, stakeholders and confidential projects.

Key Responsibilities:

1. Executive & Strategic Support
Anticipate MDs needs, prepare briefing notes and ensure readiness for meetings. Manage a dynamic calendar, scheduling across multiple time zones with buffers and prep blocks. Gatekeep and triage inbound requests, filtering priorities and protecting MDs time. Draft crisp executive communications (emails, notes, presentations, MoM). Conduct research and prepare comparative analyses with decision recommendations. 2. Stakeholder & Visitor Management Manage VIP/HNWI/investor visits with discretion and professionalism. Liaise with internal teams (Projects, Sales, Finance, Legal, Marketing) for updates and follow-ups. Maintain warm, polished interactions with external partners, clients and government authorities. 3. Technology & Tools Proficiency in Google Workspace/MS Office, digital collaboration platforms, e-signature, and expense tools. Use AI/automation tools for drafting, scheduling, and reporting efficiencies. 4. Reporting & Documentation Prepare accurate Minutes of Meeting (MoM) with clear action owners and deadlines. Ensure daily/weekly reports with status, risk and next steps. Maintain disciplined document management: version control, SOPs, checklists. Track follow-ups and drive closure of commitments. 5. Confidentiality & Discretion Handle highly sensitive information and data with utmost confidentiality. Uphold professional judgment in all internal and external dealings. 6. Travel & Logistics Build door-to-door itineraries optimizing time, comfort, and cost. Ensure visa, documentation, loyalty programs, seat/hotel preferences are in order. Coordinate ground transport, late check-ins, and contingency plans.

Candidate Profile:

Postgraduate degree in any discipline. MBA preferred but not mandatory.

Experience:

  1. 7 -10 years experience supporting senior leaders (C-suite/MD/CEO), preferably in real estate, construction or high-stakes industries.
  2. Track record of managing complex calendars, travel, and stakeholder engagements.
  3. Strong references validating reliability, accuracy, and discretion.
