Education/Qualification:

  • Bachelor's degree in Business Administration, Management, or a related field in English medium.

Additional Qualifications (Preferred):

  • Proficiency in multiple languages (English, Hindi, Marathi, or more) can be a significant advantage.
  • PGD/certification in administration, project management.

Experience (Minimum 310 years):

  • Minimum 310 years of experience as an Executive Assistant cum Departmental Administrator.
  • Experience of working in the automotive industry or similar institutional setup is a plus.
  • Experience in project management is a plus.
  • Experience in office automation and digitisation is a plus.

Skills:

  • Fluency in English.
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong problem-solving and analytical skills.
  • Experience with calendar management, scheduling, and coordination.
  • Basic knowledge of HR, finance, and administrative procedures.

Key Responsibilities (General):

  • Provide administrative support to the department head and team members.
  • Manage calendars, schedules, and appointments.
  • Coordinate meetings, events, and conferences.
  • Prepare and edit documents, reports, and presentations.
  • Maintain accurate records and databases.
  • Handle correspondence, emails, and phone calls.
  • Assist with departmental budgeting, financial management, and procurement.
  • Develop and implement administrative processes and procedures, including office automation and digitisation.
  • Ensure compliance with organizational policies and regulations.
  • Readiness to travel/transfer to various other locations to perform duties as per the institutional requirement.
  • Perform other tasks as assigned by the department head.

Executive Assistance:

  • Provide personalized support to the department head.
  • Manage their calendar, schedule, and appointments.
  • Prepare and edit emails, letters, documents, reports, and presentations.
  • Handle correspondence, emails, and phone calls.
  • Perform tasks that require discretion and confidentiality.

Departmental Administration:

  • Oversee departmental operations and logistics, and complete associated settlements.
  • Manage departmental budgets and resources.
  • Coordinate with other departments and teams.
  • Maintain departmental records and databases.
  • Ensure departmental compliance with organizational policies and regulations
