Key Responsibilities

Managing Schedules:

  • Manage the director's calendar and schedule meetings, appointments, and travel arrangements.
  • Organize and coordinate internal and external meetings, including preparing agendas and materials.
  • Ensure the director is well-prepared for meetings and other engagements.

Communication Management:

  • Prioritize emails and respond when necessary
  • Draft, review and send communications on behalf of the director
  • Answer and respond to phone calls, communicate messages and information to the director
  • Maintain and update contact lists and manage communications with stakeholders.

  • Assist with special projects and research tasks as assigned by the director.
  • Handle confidential information with discretion and professionalism.

Documentation:

  • Handle correspondence, including emails and phone calls, and prioritize urgent matters.
  • Maintain various records and documents for the director.
  • Prepare and edit reports, presentations, and other documents as needed.
