Job Description

Key Responsibilities:

  • Managing calendars, scheduling meetings, and appointments
  • Handling travel arrangements and itineraries
  • Preparing reports, presentations, and correspondence
  • Acting as a liaison between executives and staff/clients
  • Managing confidential information with discretion
  • Assisting in project coordination and follow-ups

  • Manage and maintain the MD’s calendar, schedule appointments, and coordinate meetings.
  • Organize travel arrangements, itineraries, and accommodation for domestic and international trips.
  • Prepare meeting agendas, presentations, and supporting materials.
  • Handle confidential correspondence, reports, and documentation.
  • 2. Communication & Coordination

  • Serve as the primary point of contact between the MD and internal/external stakeholders.
  • Draft, review, and edit communications on behalf of the MD.
  • Coordinate with different departments to ensure timely follow-up on decisions and tasks.
  • 3. Project & Task Management

  • Track key business initiatives and ensure deadlines are met.
  • Assist in preparing business reports, proposals, and strategic plans.
  • Monitor and update progress on action items from meetings.
  • 4. Research & Analysis

*

  • Conduct market and business research to support decision-making.
  • Prepare summaries, briefing notes, and analytical reports for the MD.
  • 5. Office & Event Management

  • Organize company events, board meetings, and official gatherings.
  • Maintain an efficient filing system for easy retrieval of records and documents.
  • Qualifications & Skills Required

  • Bachelor’s degree in Business Administration, Management, or related field (MBA preferred).
  • Minimum 5+ years’ experience as an EA, preferably supporting C-suite executives.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational, time-management, and multitasking abilities.
  • Excellent written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Problem-solving mindset and ability to work under pressure.
