Job Summary:

We are looking for a professional Receptionist & Personal Assistant with 5–6 years of experience to manage front desk operations while providing executive and administrative support. The ideal candidate will have excellent communication skills, strong IT knowledge, and the ability to handle day-to-day office management along with assisting senior management in their schedules and tasks.


Roles and Responsibilities:

Ø Front Office & Reception Duties:

  • Greet and welcome visitors with professionalism and warmth.
  • Handle incoming phone calls, emails, and correspondence; route to the right departments/persons.
  • Manage attendance registers and operate the biometric attendance system.
  • Maintain office stationery records, ensure availability, and manage vendor coordination.
  • Handle courier, mail, and visitor log management.
  • Ensure front office area and meeting rooms are well maintained and presentable.
  • Support HR/Admin with new employee onboarding (ID card issuance, attendance setup, etc.).
  • Assist in general office administration and day-to-day support activities.


Ø Personal Assistant Duties:

  • Manage calendars, schedules, and appointments for senior management.
  • Organize meetings, prepare agendas, and draft minutes.
  • Handle travel arrangements, bookings, and itineraries.
  • Maintain confidential documents, files, and records.
  • Draft, review, and format reports, memos, and official correspondence.
  • Follow up on pending tasks, deadlines, and important reminders for executives.
  • Act as a liaison between senior management and employees, clients, and vendors.
  • Assist in preparation of presentations and office reports.
  • Provide high-level administrative support to ensure smooth business operations.


Key Skills Required:

  • Excellent communication skills in English (verbal & written).
  • Strong IT knowledge – MS Office Suite, Outlook, and attendance/biometric software.
  • Exceptional organizational and multitasking skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Professional appearance, customer-oriented approach, and problem-solving skills.
  • Strong time-management with ability to prioritize tasks effectively.


Qualification:

  • Graduate in any discipline.
  • Additional certification in Office Administration / Executive Assistance / Front Office Management is an added advantage.
