Job Description

Event Planning & Logistics:

Key Duties and Responsibilities

  • Coordinate all aspects of events, including venue selection, vendor management, and event timeline development.
  • Develop detailed checklists, schedules, and floor plans.
  • Oversee the setup and breakdown of event spaces.

Budget Management:

  • Assist in creating and managing the event budget, tracking expenses to ensure all costs remain within financial constraints.
  • Secure cost estimates for various services and materials.

Vendor and Stakeholder Coordination:

  • Research, negotiate, and secure contracts with vendors (e.g., caterers, audiovisual technicians, decorators, entertainers).
  • Serve as the main point of contact for external partners, internal teams, and clients.
  • Manage and coordinate the activities of event staff and volunteers.

Execution and On-site Management:

  • Oversee all on-site operations on the day of the event to ensure a flawless execution.
  • Act quickly to resolve any unforeseen issues or challenges as they arise.
  • Handle attendee registration, check-in, and provide excellent customer service.

Post-Event Activities:

  • Conduct post-event evaluations and gather feedback from attendees and stakeholders.
  • Process invoices, manage final payments, and create event success reports.

Required Skills and Qualifications

Hard Skills:

  • Proven experience in event coordination, hospitality, or a related field.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with event management software (e.g., Cvent, Eventbrite) and/or CRM systems is often preferred.
  • Experience with budgeting and financial tracking.

Soft Skills:

  • Exceptional Organizational Skills: Ability to manage multiple projects, prioritize tasks effectively, and maintain meticulous attention to detail.
  • Strong Communication & Interpersonal Skills: Excellent written and verbal communication, negotiation, and relationship-building abilities (with clients, vendors, and staff).
  • Problem-Solving & Flexibility: Ability to think quickly, troubleshoot issues, and adapt plans to last-minute changes while maintaining composure under stress.
  • Time Management: Mastery of deadlines and the ability to work in a fast-paced, high-pressure environment.

Job Type: Full-time

Pay: ₹25,000.00 - ₹32,000.00 per month
