• Manage personal and professional calendars, appointments, and daily schedules for family members.
• Liaise with service providers, advisors, and staff on behalf of the principal(s).
• Coordinate private and business travel including itineraries, visas, and accommodations.
• Handle personal errands, gift sourcing, reservations, and bespoke requests.
• Oversee household staff schedules, contracts, and payments (if applicable).
• Manage property-related tasks including maintenance coordination, vendor follow-ups, and inventory management.
• Organize family events, dinners, and social engagements (invitations, RSVPs, logistics).
• Ensure personal preferences, routines, and standards are met across service touchpoints.
• Track and reconcile personal expenses, bills, credit cards, and reimbursements.
• Maintain confidential documents, records, and legal files.
• Assist with charitable giving, trusts, and foundation-related coordination.
• Coordinate with accountants, lawyers, and advisors when needed.
• Support family travel planning, relocation logistics, or home renovations.
• Manage special assignments such as holiday planning, education research, or luxury purchases.
• Provide support for investments, real estate, or business ventures where requested.
• 5+ years experience as a private/personal assistant, family office EA, or in a similar high-trust role.
• Proven ability to manage multiple priorities with discretion and poise.
• Excellent communication skills and polished demeanor.
• Tech-savvy and confident with tools like Google Workspace, Microsoft Office, travel apps, and project trackers
• Flexibility to work after-hours or on weekends when required.
• High integrity, loyalty, and utmost discretion in handling personal and financial information.
• Prior experience supporting UHNWIs, founders, or senior business leaders.
• Understanding of luxury lifestyle standards and expectations.
• Background in hospitality, concierge, or estate management is a plus.
• Ability to anticipate needs and operate with a “no task too small” mindset.
