We are looking for a meticulous and organized document handler and researcher to manage the complete lifecycle of physical and digital documents within the organization. The role involves receiving, sorting, scanning, filing, retrieving, archiving, and securely disposing of documents while ensuring compliance with company policies and data protection regulations.

Key Responsibilities

Log documents accurately in the document management system.
Sort, classify, and index documents according to established categorization and naming conventions.
Scan paper documents and perform quality checks to ensure legible digital copies.
Upload and tag digital documents in the document management system (DMS)/SharePoint/Google Drive/custom ERP module.
Maintain physical and electronic filing systems in an orderly and retrievable manner.
Retrieve documents promptly upon request from internal departments or external auditors.
Prepare documents for archiving or secure destruction as per retention policy.
Track document movement and maintain audit trails.
Assist in periodic audits and compliance checks of document inventory.
Ensure strict adherence to confidentiality and data protection standards (GDPR, ISO 27001, or local laws).
Support departments with document formatting, printing, binding, and courier dispatch when required.
Report any discrepancies, damaged documents, or system issues to the supervisor.
