Admin Deputy Manager

Key Responsibilities

  1. Facility Management:

    Oversee end-to-end management of office facilities, ensuring a safe, clean, and efficient workspace for all employees of Square Business Services Pvt. Ltd.
  2. Vendor Coordination:

    Manage relationships and service quality of vendors such as housekeeping, security, maintenance, transportation, and cafeteria services.
  3. Compliance & Audits:

    Ensure compliance with statutory and regulatory requirements relevant to BPO operations. Assist in internal and external audits and maintain required documentation.
  4. Asset & Inventory Management:

    Monitor and manage office assets, consumables, and equipment. Ensure accurate tracking and timely replenishment through proper documentation.
  5. Budget Support:

    Assist in preparing and managing the administrative budget with a focus on cost-effective procurement and operational efficiency.
  6. Workplace Safety & Security:

    Oversee implementation of safety protocols, fire safety equipment, regular workplace inspections, and emergency preparedness procedures.
  7. Employee Support:

    Address administrative needs of employees including seating arrangements, access control, facility-related concerns, and general support.
  8. Team Leadership:

    Supervise administrative staff, delegate tasks, review performance, and provide guidance and training to ensure smooth operations.
  9. Event & Logistics Coordination:

    Manage logistics for office events, training programs, induction sessions, and meetings, ensuring seamless execution.
  10. Documentation & Reporting:

    Maintain proper documentation of admin processes, vendor contracts, facility activities, compliance records, and share periodic reports with the management.
  11. Business Continuity Assistance:

    Support the planning and implementation of business continuity measures to ensure uninterrupted BPO operations.

Qualifications

  • Education:

    Graduate or postgraduate in Business Administration, Operations, or a related field.
  • Experience:

    46 years of administrative experience, preferably in a BPO or large corporate environment.
  • Technical Skills:

    Proficiency in MS Office, facility management systems, and basic IT coordination for admin requirements.
  • Soft Skills:

    Strong leadership, communication, negotiation, and problem-solving abilities; capable of multitasking and working under pressure.
