Job Description

Purpose/Objective


    Manage and maintain all important documents related to Land & Acquisition projects, ensuring they are properly classified, stored, and easily accessible. Responsibilities include setting up document control systems, handling technical documentation in both hard and soft formats, and ensuring accurate data entry in registers. The role involves issuing documents under transmittal, generating control reports, and maintaining up-to-date records using document management software. The candidate must ensure proper archiving and distribution of approved documents to relevant stakeholders.

Key Responsibilities of Role


    Document Lifecycle Management: - Manage document intake, registration, metadata tagging, version control, and secure archiving (physical & digital). - Maintain master document register, deeds, maps, survey plans, revenue records, village forms, and RERArelated documents where applicable. - Establish file naming conventions, classification schemes, indexing structure (parcel/plot/khata/khasra/City Survey No./Survey No.), and retention schedules\ Mapping, Survey & Parcel Records: - Maintain GIS / cadastral maps, survey drawings, demarcation reports, site plans, and georeferenced layers linked to plot IDs. - Manage change-control for revisions to plans, boundary corrections, resurveys, and government updates to revenue maps. - Coordinate with surveyors for field books, GPS coordinates, DGPS reports, and FMB/tippon documentation. Security, and Confidentiality: - Implement access controls, least-privilege principles, chain of custody for originals, digital signatures, and tamperevident storage. - Enforce document retention & destruction policies, litigation hold, and disaster recovery (offsite backups). - Ensure adherence to Personal Data Protection, IT Act, Evidence Act (admissibility of electronic records), and RERA (where project-related).

Qualifications and Experience


    Required Experience & Qualifications: - 5 -6 years of experience in Documentation / Records Management / Preferably in Land acquisition or Infrastructure projects. - Bachelor's degree / master’s degree in any discipline (Preferably with specialization in documentation / Library science field. Skills & Competencies: Technical: - Document Management Systems (DMS), SharePoint/OneDrive, OpenText, MFiles. - Knowledge of digitization, OCR, scanning standards (300–600 dpi), PDF/A, digital signatures and electronic archiving. - MS Office (Word, Excel, PowerPoint), Power BI/Excel dashboards. - Domain/Legal: - Understanding of land titling, deeds, encumbrances, PoA, RERA, Revenue Codes and others - Proof reading and quality control of documents. - Ability to manage inward / outward records and prepare daily/ weekly/ monthly reports.
