Sales Coordinator – Order Processing & Purchase Executive (Including Tendering)Location:Hyderabad

Key Responsibilities

Sales Coordination & Order Processing
  • Handle customer queries and coordinate with the sales team for quotations and order execution.
  • Prepare sales orders, proforma invoices, and manage end-to-end order processing.
  • Track customer POs, coordinate with logistics for dispatch, and ensure on-time delivery.
  • Maintain order records and support the sales team with daily operations and documentation.
  • Provide after-sales coordination including warranty or AMC documentation.
Purchase & Vendor Coordination
  • Source products based on sales needs or stock requirements.
  • Create and follow up on purchase orders with domestic and international vendors.
  • Negotiate prices, delivery timelines, and manage vendor relationships.
  • Coordinate with the accounts team for timely invoice processing and payment follow-ups.
  • Monitor stock levels and ensure inventory availability as per demand.
Tendering & Documentation
  • Monitor government and institutional tender portals (GeM, CPP, E-Tender, etc.).
  • Coordinate with technical and sales teams to prepare and submit tender documents.
  • Handle online bid submission, registration processes, and compliance documentation.
  • Ensure timely updates, bid clarifications, and proper filing of tender records.
  • Build rapport with government clients and procurement departments.

Key Skills Required

  • Good understanding of order processing, vendor management, and sales coordination.
  • Hands-on experience with GeM portal and tender documentation.
  • Proficiency in MS Excel, Word, and any ERP/CRM systems.
  • Strong communication, multitasking, and follow-up skills.
  • Detail-oriented with the ability to manage multiple priorities.

Qualifications

  • Graduate in Commerce, Science, or a relevant field.
  • 2–5 years of experience in sales coordination, purchase, or tendering (preferably in lab/scientific industry).
  • Knowledge of laboratory or analytical instruments is a plus.
