Job Purpose

The Coordinator - People Services will provide operational and administrative support to the People Services team in implementing PS processes across the employee life cycle. The role is responsible for documentation verification, statutory enrollments, onboarding coordination, employee welfare and engagement initiatives, and support in PS operations at sites. The position acts as a critical link between the field teams, site PS, and the corporate PS department, ensuring timely execution, accuracy, and compliance with organizational standards.

Key Responsibilities

Planning & Coordination

  • Coordinate with clients and Executive, People Services (PSEs) to prepare 15-day or 30-day Duty Rosters for all sites.
  • Share the finalized Duty Rosters with PSEs, clients, and site supervisors by the 25th of each month.
  • Follow up with PSEs and site supervisors to ensure proper communication of the Duty Roster to deployed team members.
  • Analyze attendance data to prepare monthly reports on attrition, recruitment, absenteeism, and manpower trends.
  • Prepare a quarterly stock requirement plan for uniforms, shoes, and ID cards.

Recruitment & Selection Support

  • Obtain recruitment inputs from PSEs and collaborate with the Manager, People Services (PSM) to design posters, pamphlets, and social media posts for manpower attraction.
  • Conduct recruitment camps and drives in strategic locations (once every six months) to enhance the organizations visibility and brand image in the employment market.
  • Verify completeness of candidate documentation shared by the PSE and conduct secondary telephonic interviews.
  • Clarify job requirements, employment terms, and workplace expectations with shortlisted candidates, and record all interview observations.
  • Coordinate client interviews by scheduling, communicating with candidates, and documenting client feedback.

Induction & Onboarding

  • Ensure all joining documentation, employment letters, uniforms, shoes, and ID cards are provided before deployment.
  • Oversee pre-induction activities conducted by PSEs, including job briefings, workplace tours, company overviews, and video modules on grooming and etiquette.
  • Prepare and issue offer letters, job posting letters, appointment letters, and process ESI, PF, and FaME enrollments.
  • Ensure training on the FaME App is conducted and documented.

Handholding & Employee Support

  • Coordinate with PSEs to ensure each new employee is assigned a Site Bhai/Behen (mentor) at the workplace.
  • Oversee feedback documentation during the first four weeks of joining (daily in Week 1, alternate days in Week 2, twice a week in Weeks 3 & 4).
  • Track and record employee engagement, happiness, and early performance feedback.
  • Ensure Welcome Videos, Site Bhai/ Behen enrollment, and induction training are completed as per the program.

Attendance & Deployment Management

  • Collaborate with PSEs to track daily attendance of all site-based employees in line with approved duty rosters.
  • Monitor attendance trends, absenteeism, and reliever deployment, ensuring continuity in operations.
  • Track daily attendance of PSEs and relievers and process their monthly salary inputs.
  • Coordinate with clients and site supervisors to collect verified monthly attendance statements within 24 hours of client attendance closing.
  • Share verified attendance with the Accounts Receivables Executive for billing and input attendance data into FaME for salary processing.
  • Complete monthly ESI and PF computations and share challan details with the Statutory/ Compliance Team.

Training & Capability Development

  • Prepare and share a training calendar with PSEs in coordination with the PSM.
  • Support the creation of training content, presentations, and session documentation for client and internal records.
  • Monitor training delivery, completion, and assessment in line with SOPs.

Employee Engagement & Recognition

  • Plan and execute employee welfare, wellbeing, and engagement activities across sites.
  • Conduct employee satisfaction surveys, one-on-one meetings, and group discussions to gather feedback.
  • Implement Rewards & Recognition (R&R) programs, including STAR, Thank You Cards, and periodic events.
  • Ensure consistency in executing employee engagement programs as per company guidelines and the STAR Manual.

Reporting & Coordination

  • Prepare and submit periodic reports on documentation, statutory compliance, attendance, engagement, and R&R implementation.
  • Coordinate with internal teams such as Finance, Admin, and Customer Services for smooth PS operations.
  • Share feedback and insights with management for process improvements and quality assurance.
  • Maintain readiness for internal and external audits through accurate record keeping.

Key Performance Indicators (KPIs)

  • Timeliness and accuracy of documentation and statutory enrollments (PF/ ESI).
  • Completion and quality of onboarding and welcome calls.
  • Accuracy of attendance and reliever deployment reports.
  • Successful implementation of employee engagement and welfare activities.
  • Proper maintenance and timely replenishment of uniform stocks.
  • Quality, timeliness, and accuracy of reports submitted for management review.

Qualifications and Experience

  • Graduate in any discipline (preferably with specialization in Human Resources or Business Administration).
  • 4 - 6 years of experience in HR Operations or Employee Services, preferably in the Facility Management or Service Industry.
  • Working knowledge of statutory compliances (PF, ESI, Gratuity, etc.) and HR documentation.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and HRMS tools.
  • Good communication skills in English and local language.
