Job Description

Position Summary

The Clinic Cluster Manager is a key leadership role responsible for the overall operational, financial, and clinical performance of a designated group of clinics (typically 3-5 locations). This individual ensures that all clinics within their cluster operate efficiently, deliver the highest standard of patient care, and achieve their business objectives. The Manager will provide direct supervision to Clinic Managers and lead initiatives to standardize processes, drive growth, and foster a positive and collaborative work environment across all sites.

Key Responsibilities

1. Operational Excellence & Standardization

  • Oversee the daily operations of all clinics within the assigned cluster, ensuring smooth and efficient workflow.
  • Develop, implement, and standardize operational policies, procedures, and protocols across all clinics to ensure consistency and compliance.
  • Monitor key performance indicators (KPIs) such as patient wait times, no-show rates, room utilization, and provider productivity.
  • Identify operational inefficiencies and lead continuous improvement initiatives (e.g., Lean, Six Sigma) to enhance service delivery.
  • Ensure all clinics are compliant with safety standards (OSHA), infection control protocols, and other regulatory requirements.

2. Financial Management

  • In collaboration with finance, develop and manage the annual operating budget for the entire cluster.
  • Analyze financial statements, monitor revenue cycle performance (collections, coding, denials), and control operational expenses (staffing, supplies, overhead).
  • Implement strategies to maximize profitability and meet or exceed financial targets for each clinic.
  • Approve expenditures and manage inventory levels for medical and office supplies across the cluster.

3. Clinical Quality & Patient Experience

  • Champion a culture of clinical excellence and a patient-first mentality.
  • Ensure all clinics adhere to established clinical quality standards and accreditation requirements
  • Monitor patient satisfaction scores, address patient complaints and feedback, and implement action plans to improve the patient journey.
  • Collaborate with the Clinical/Medical Director to support clinical staff and maintain high standards of care.

4. Leadership & Team Development

  • Provide direct leadership, coaching, and mentorship to Clinic Managers and, by extension, all clinic staff (front office, medical assistants, nurses, etc.).
  • Foster a collaborative, engaged, and high-performing team culture across the cluster.
  • Manage talent acquisition, staff development, performance reviews, and succession planning.
  • Address employee relations issues promptly and effectively, in partnership with HR.

5. Strategic Growth & Business Development

  • Execute strategic plans to grow patient volume and expand services within the cluster.
  • Analyze market trends and competitor activity to identify new opportunities.
  • Build and maintain strong relationships with physicians, referring providers, and key community partners.
  • Support marketing initiatives to enhance the visibility and reputation of the clinics.

Qualifications & Experience

Required:

  • Bachelors degree in Business Administration, Healthcare Administration, or a related field.
  • Minimum of 5-7 years of progressive experience in a healthcare management role, with at least 3 years in a multi-site or multi-clinic leadership capacity.
  • Proven track record of successfully managing P&L, budgets, and financial performance.
  • In-depth knowledge of healthcare operations, regulatory standards, and revenue cycle management.
  • Strong leadership skills with experience in managing, developing, and inspiring multi-disciplinary teams.
  • Excellent analytical, problem-solving, and decision-making abilities.
  • Superior communication, interpersonal, and conflict-resolution skills.

Preferred:

  • Masters degree in Healthcare Administration (MHA) or Business Administration (MBA).
  • Experience with clinic start-ups, acquisitions, or integrations.
