Job Description

We are looking for a detail-oriented, organized, and proactive Backend Coordinator

Key Responsibilities:

Backend Operations & Documentation

  • Prepare and maintain

    quotations, Proforma Invoices (PI), Purchase Orders (PO), Sales Orders (SO)

    , and other documents.
  • Maintain and update the

    customer database

    , enquiry records, communication logs, and document files.
  • Manage

    AMC and warranty records

    , ensuring timely updates in the system.
  • Assist in preparing

    tender documents, agreements, proposals

    , and ensure proper documentation control.

Coordination & Communication

  • Coordinate with

    production, dispatch, accounts, and service teams

    for smooth workflow and timely execution.
  • Track

    order status, delivery schedules, dispatch requirements

    , and service requests.
  • Attend customer calls and emails, providing accurate information and support.
  • Follow up for

    documentation, approvals, payments-related information

    , and internal requirements.

MIS Reporting & Data Management

  • Maintain MIS reports such as

    enquiry tracking, order pipeline, daily updates

    , and department dashboards.
  • Generate

    reports, presentations, and summaries

    as required by management.
  • Ensure accurate data entry and system updates in ERP/CRM (if applicable).

Administrative & Internal Support

  • Support management with

    presentations, reports, follow-ups

    , and meeting coordination.
  • Assist in daily administrative functions related to backend operations.

Required Skills & Competencies

  • Strong

    communication skills

    in English & Hindi (verbal and written).
  • Proficient in

    MS Office

    (Excel, PowerPoint, Outlook);

    ERP/CRM experience

    is an advantage.
  • Excellent

    documentation, data management, and record-keeping

    skills.
  • Strong

    coordination, follow-up abilities

    , and time management.
  • Ability to

    multitask, work independently

    , and meet timelines.
  • Problem-solving mindset with attention to detail.
  • Experience in

    industrial or technical backend support

    is preferred.
