Position Overview:

BDO is seeking a back-office support associate to handle the vendor relationships and related administrative tasks to support BDO Canada team. The associate will handle the calendar management, including scheduling and blocking meetings and will be responsible to manage communications via email and chat platforms and will collaborate closely with the BDO Canada team to ensure smooth operational support

Requirements

Roles & Responsibilities:

• Prepares and updates financial statements, correspondence, proposals, memos, manuals, and various other documents based on information.

• Review, proofread, and edit documents for accuracy and completeness

• Ensure documents follow established BDO formats, templates, and style guides

• Creates, manages and records digital documents and status by using provided software and tools

• Collaborate with different teams to gather the information needed to create or update documents

• Edits the documents to ensure accuracy, quality and consistency of deliverable(s) by following written and oral instructions to ensure uniformity with BDO standard format and/or Client format.

• Meets internal deadlines to match the internal client expectations for timely delivery of service and ensures data is collected and processed in a timely manner

• Collaborates proactively with internal clients and team members to gather the necessary information, documents, and data required to complete assigned tasks and ensure timely delivery.

• Assists with training team members on all relevant software, resources, and processes

• Assists in development and maintenance of team shared workspaces, housing all training and written process documentation, key contacts, links and common responses

• Proficient in navigating My Support Center dashboard and functionality

• Identifies and contributes to ongoing initiatives aimed at improving service, quality, and efficiency.

• Complies with all Firm policies, standards, and client procedures

• Organize and attend training, maintain proper documentation, and tracking.

• Ensure that all procedures, templates, and checklists are up to date.

• Ensure that issues are addressed promptly and do not hinder the onboarding or operational flow.

• Supervise and mentor the team members, providing guidance and support in their daily tasks.

• Conduct performance evaluations and provide feedback to team members.

• Act as the primary point of contact between the team, clients, and other internal departments.

• Facilitate clear and effective communication to ensure all parties are aligned on document requirements and timelines.

• Implement and enforce quality control processes to maintain high standards.

Qualification & Experience:

• Education: B.Com/ BA/ MBA

• Experience of 1-3 years in back-office support or admin related tasks for any global firm.

• Experience working in an outsourced operations environment is required.

• Experience in a professional services firm preferred.

• Solid verbal and written communication skills including proficiency in editing and utilization of current grammar and written style practices.

• Able to successfully multi-task while working independently, within a group environment and/or other professionals.

• Effective planning and strong organizational skills.

• Able to work with a high degree of accuracy and thrive in a high volume fast-paced work environment.

• Must be able to maintain confidentiality when interacting with all levels of the organization.

• Capable of adapting communication style to successfully convey messaging and objective to diverse audiences in a professional manner.

• Able to meet project deadlines with a focus on detailsAble to work effectively in a team-oriented environment.

• Able to work effectively in a team-oriented environment.


Software:

• Advanced proficiency in Microsoft Word, Excel, PowerPoint and Adobe Acrobat Pro, preferred.

• Experience with ServiceNow or scheduling software program preferred.
